Job Summary:

The Event Coordinator Assistant supports the planning and stewardship of POOLCORP events ensuring events are organized efficiently and effectively creating memorable experiences for our attendees. Working closely with the Sr. Manager of Events and Event Coordinator you will play a crucial role in the planning organization and execution of POOLCORP sales conferences trade shows executive meetings and incentive travel. Daily you will collaborate working closely with internal teams to plan and execute impactful events. This role is part of a highly collaborative team that values shared success attention to detail and creating events that drive engagement and lasting impressions.

Responsibilities:

  • Collaborate with team members to plan and coordinate all aspects of events ensuring smooth logistics and meaningful outcomes that support organizational goals.

  • Develop and manage event timelines and checklist to ensure that events are completed on time.

  • Create event registration websites for all POOLCORP events from initial concept through execution and post-event follow-up utilizing Cvent event management platform ensuring alignment and delivering a seamless experience for attendees and stakeholders.

  • Manage attendee registrations and inquiries providing exceptional customer service throughout the event lifecycle.

  • Plans and executes day-to-day event administration including event marketing materials and internal & external communication strategies.

  • Coordinates attendee hotel accommodation and air travel.

  • Manages inventory of promotional giveaways place orders as needed and ensure all materials are shipped to event venue timely.

  • Facilitate Event invoice and billing submission for payment processing.

  • Serves as the onsite event room reservations contact and hotel liaison handling any issues or challenges that arise during the event and troubleshooting accordingly.

Requirements:

  • Bachelors degree in Hospitality Marketing or similar discipline preferred .

  • Cvent Event Management program professional certifications or 1 year experience.

  • Minimum 2 years events experience required.

  • Strong organizational communication negotiating and multitasking skills.

  • Must be able to manage multiple events concurrently.

  • Must be able to travel as needed.
