Job Summary:

The Arizona Department of Administration (ADOA) General Services Division (GSD) is seeking a highly organized and customer-focused individual for the role of Warehouse Worker. This dynamic position offers a blend of essential administrative and hands-on warehouse duties crucial to the support of our facilities operations and maintenance division.

The successful candidate will be responsible for the full lifecycle of inventory management and procurement including contacting vendors to obtain quotes conducting product and vendor research and fulfilling supply requests submitted by building engineers. A key part of the role involves extensive administrative tasks such as data entry of invoices documenting customer and vendor contact in the computerized maintenance management system and proactively resolving purchase order issues (e.g. invoicing discrepancies back orders or damaged goods).

On the warehouse side the position includes receiving confirming and distributing both inventory and special order goods. The worker will process requests and supply orders sort materials onto racks and shelves and prepare orders for pickup. Maintaining accurate inventory control is paramount involving recording material amounts performing cycle-counts and physical inventories and reconciling purchases. We are looking for an individual who demonstrates a continuous effort to streamline work processes decrease turnaround times and provide quality customer service in a cooperative team environment while ensuring a safe and clean work environment is maintained.

Job Duties:
  • Receive deliveries; process requests and supply orders; and distribute material/supplies to appropriate personnel
  • Prepare and place orders in the designated pickup area; sort and place materials or items on racks shelves or in bins
  • Maintain inventory controls including recording amounts of materials or items received or distributed and conducting regular cycle-counts and physical inventories
  • Reconcile purchases against documentation
  • Maintain a safe and clean work environment by keeping shelves pallet area and workstations neat
  • Research and resolve problems associated with issued purchase orders (e.g. invoicing discrepancies back orders mis-ships damaged goods etc.)
  • Confirm deliveries receiving and distribution of special order goods and inventory items
  • Demonstrate continuous effort to decrease turnaround times streamline work processes and work cooperatively and jointly to provide quality customer service
  • Contact vendors to obtain quotes for replenishing inventory and fulfilling requests submitted by building engineers
  • Conduct research on products equipment and vendors and reach a logical conclusion based on results
  • Follow up on/expedite the delivery of purchase orders
  • Enter purchase orders and receipts in the Procurement system
  • Perform data entry of invoices and document contact with customers and vendors throughout the procurement process in the computerized maintenance management system
Knowledge Skills & Abilities (KSAs):

Knowledge of:

  • State procurement policies and procedures
  • Inventory control practices including ordering receiving storing and disbursing materials supplies and equipment
  • Warehouse safety practices
  • Basic math

Skills in:

  • Effective oral and written communication skills
  • Skill in developing and maintaining interpersonal relationships with customers and vendors
  • Multitasking and working with deadlines
  • Skill in the use of hand trucks flat carts and manual and electric pallet jacks
  • Proficiency in operating a variety of standard office equipment including a computer 10-key calculator and telephone
  • Experience with a variety of computer software specifically Gmail G-Suite applications or Microsoft Office applications

Pre-Employment Requirements:
  • AZ Driver License
  • Background and reference check including a criminal records verification
