ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Reviews FDIHB travel requests and expense reports to ensure policy compliance and works closely with internal customers to resolve discrepancies.
- Maintains all travel and supporting documentation in the filing system.
- Receives and responds to telephone and email inquiries from external and internal customers.
- Scans all travel and supporting documentation into the Finance shared folder.
- Work with internal customers to make reservations for lodging airline travel and training or conference registration fees when needed.
- Audits all travel documents received for completeness and accuracy.
- Provides superior customer service to all customers.
- Recommends process improvements to supervisor as necessary to promote efficiency.
- Assist FDIHB Inc. employees with travel amendments and cancellations.
- Notify and distribute travel advances and reimbursements to FDIHB Inc. employees.
- Send notifications to FDIHB Inc. employees on past-due expense reports.
- Assist in preparing payroll deduction forms for travel amounts owed.
- Work closely with Accounts Payable Technicians on the status of travel advances and reimbursements.
- Maintain satisfactory Purchase Card (P-Card) holder status to perform job duties.
- Reconcile monthly P-Card statements and submit P-Card packets in an accurate and timely manner.
- Provides travel training to FDIHB Inc. employees.
- Resolve travel-related disputes with FDIHB Inc. employees.
- Work with Accountants to resolve issues related to account coding.
- Conduct research and provide documents requested by customers. Assist with the travel process any issues that may arise interpretation of the travel policy or any other customer service needs in a timely and accurate manner.
- Provides front desk coverage when necessary.
- Performs other duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS:
Experience:
Two (2) years of direct work experience
Education:
High School or Equivalency (HSE)
