Qualifications:
College hours high school diploma or GED
Successful work experience in a school office school department office or central office setting
Excellent organization skills attention to detail and ability to prioritize tasks
Excellent verbal and written communication skills
Excellent interpersonal and customer service skills
Excellent clerical skills with productivity under pressure
Flexible and adaptable in various situations and when interacting with public employees and administrators
Ability to work independently with minimal supervision
Work with confidential information
Proficient in Microsoft Office Suite Google Docs typing and file maintenance skills
Expertise in the use of computer copier calculator and other office equipment
Primary Purpose:
Provide high-level administrative support to the Director of Maintenance.
Major Duties and Responsibilities:
- Prepare all correspondence letters memos presentations spreadsheets and other relevant materials for the Director of Maintenance.
- Plan schedule and arrange meetings conferences appointments and departmental functions.
- Maintain calendars and contacts for the Director of Maintenance.
- Assist with the onboarding process of new hires.
- Prepare meeting agendas for department meetings and record meeting minutes.
- Coordinate communications among department personnel schools patrons and other departments.
- Respond to and resolve administrative inquiries and questions.
- Maintain files for the Director of Maintenance Department.
- Assist other office support staff as needed.
- Other duties as assigned.
Equipment Used:
Personal computer copier calculator phone scanner etc.
Working Conditions:
Ability to work within deadlines and handle frequent interruptions. Maintain emotional control under stress. Prolonged use of the computer. Repetitive hand motions. Flexible and cooperative with other school personnel and district patrons. Maintain confidentiality of the department.
