Opportunity:

The Office of the State Treasurer (OST) is seeking a motivated and experienced individual to provide high-level executive and operational support to the organization. This position plays a key role in ensuring the efficient management of the executive office by coordinating schedules meetings travel and communications while maintaining confidentiality and accuracy in all tasks. Working closely with the Chief Operations Officer (COO) you will support the coordination of projects and initiatives prepare and manage reports and official documents and serve as a liaison between the COO internal divisions and external stakeholders to ensure the timely completion of priorities and deliverables.

Duties

Key Competencies

  • Operational and Analytical Excellence: Applies analytical and operational insight to support data-driven decision-making. Understands business processes identifies inefficiencies and recommends solutions that improve productivity and quality. Identifies trends that inform process improvements.

  • Communication and Community Partner(s) Management:Communicates with clarity professionalism and diplomacy across all levels of the organization. Builds trusted relationships and serves as a liaison between the operations manager internal teams and external partners. Crafts executive correspondence and represents leadership with tact and consistency.

Integrates inclusive practices into daily interactions and operational routines. Executive and Administrative Support

  • Manage the COOs calendar meetings travel arrangements and correspondence.
  • Draft review and edit business documents presentations and official communications.
  • Maintain confidentiality when handling sensitive or privileged information.
  • Record prepare and distribute meeting notes and official documents as needed.
  • Organize and maintain records and files in compliance with state and agency guidelines.

Operational Support andCoordination

  • Coordinate and track special projects and initiatives on behalf of the COO by monitoring deadlines priorities and action items ensuring timely completion.
  • Conduct research analyze data and prepare reports or presentations.
  • Serve as liaison between the COO internal divisions external agencies and stakeholders.

Travel and Expense Management

  • Manage travel arrangements including accommodation and transportation for the COO and Deputy Treasurers.
  • Prepare and process travel itineraries reimbursements and expense reports according to state policies for the COO and Deputy Treasurers.

Front Office and Reception Support

  • Provide front desk coverage greeting visitors answering phones and managing general inquiries on scheduled in-office days and during absences of other front office staff.
  • Oversee daily office logistics including lobby operations maintenance requests parking coordination and office supply needs.
  • Support building access administration (key cards) and assist with vault management.
  • Provide back-up support to the Treasurers Executive Assistant for State Finance Committee and Public Deposit Protection Commission meetings.
  • Performs other duties as required.

Qualifications

  • Five (5) years of progressively responsible administrative support experience.
  • Two (2) years of experience providing support to executive or senior management.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and database systems.
  • Strong organizational and time management skills with the ability to balance multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.

Desired Qualifications

  • Experience interpreting and applying policies and procedures in a government or public-sector environment.
  • Experience with records management including compliance with retention and archiving requirements.
  • Familiarity with state government administrative and fiscal procedures.

Schedule Hours of Operation & Location:

Our hybrid schedule approach gives you the best of both worlds: remote work with regular in-person collaboration. OST work schedules are determined by position requirements. This position requires employees to work in the office a minimum of three (3) days per weekwith opportunities for schedule flexibility around the required in office hours of 10 am to 2 pm.

Our office operates on a standard work week of Monday through Friday with the core business hours of 8:00 am to 5:00 pm. The duty station for this position is in Olympia Washington with the physical location being in the Legislative Building on the Capitol Campus.
