Responsibilities:
- Greeting visitors and employees; asking visitors if they would like a beverage; offering to hang their coat and/or store their luggage; directing them to a restroom if needed.
- Ensure security protocols are followed; contact the visitors host to escort them to the correct destination ensuring that all visitors are attended to in a timely fashion.
- Keep the reception area neat and organized at all times.
- Schedule and maintain appointments and meetings utilizing online conference room/meeting booking system.
- Add meetings for larger/configurable rooms to meeting tracker spreadsheet and ensure there are no conflicts with bookings and setups.
- Meet weekly with Facilities staff to review meetings and confirm meeting details; coordinate with IT for A/V requirements; assist administrative staff as needed for meetings; work with catering companies to ensure proper delivery and setup.
- Provide general administrative and clerical support to the Workplace & Facilities department as needed.
- Front line for Security ensure employees follow all security protocols; oversee additional contracted reception/security staff as needed.
- Manage Security Systems ensuring data accuracy; creating ID badges as needed; reviewing security footage as requested by HR or a Workplace & Facilities Manager.
- Run daily access reports for Workplace & Facilities Manager adding names of visitors and those who forgot their badges.
- POC for medical response site emergencies and evacuations.
- Member of Safety Committee.
Qualifications:
- High School diploma or GED equivalent required.
- Ability to lift up to 50 lbs.
- 1 to 2 years of receptionist experience.
- Excellent customer service skills; must possess a can do attitude.
- Excellent communication skills both verbal and written.
- Ability to effectively work individually or in a team environment.
- Competency in performing multiple functional tasks.
- Assertive and resourceful; self motivated; willing to ask questions and take initiative be able to communicate clearly.
- Consistently demonstrates professional demeanor appearance and attitude.
- Good customer service skills
- Excellent organization skills
