So it is our pleasure to announce that we are currently seeking a full-timecandidate for the role of Office Manager to join our team! Veterans preferred for specific VA Shelter locations.

By ICL definition under the direct supervision of the VP and SVP of Shelters an Office Manager is someone primarily responsible for organizing and coordinating all office operations functions and procedures to ensure organizational effectiveness and efficiency such as report preparation payroll and timekeeping and ordering and directing the daily duties of the Admin. Assistant and medical records Clerk.

MIN. ROLE REQUIREMENTS & PREFERENCES:

  • Location: Borough NY 00000 Available Monday to Friday Shift: Hours TBD
  • EDU/EXP: GED/HSE or higher and 3 years of clerical secretarial or admin. exp. preferably in a shelter setting
  • PLEASE NOTE: Graduation from secretarial school or related college credits or comparable training program can substitute for a portion of the experience requirement

ESSENTIAL KNOWLEDGE SKILLS AND ABILITIES:

  • Knowledge of office administration policies and procedures
  • Ability to consistently report for work on time and as scheduled
  • Ability to stand stoop bend sit and stretch for long periods of time
  • Strong financial/accounting skills sufficient to manage the programs budget
  • Ability to have and make strong reasonable and sound evaluative judgment calls
  • Ability to effectively use all Microsoft Office computer software programs and emails
  • Ability to perform medium-to-heavy manual labor including lifting objects weighing up to 20 lbs
  • Ability to work independently and as a team to conform to all applicable safety and accountability measures
  • Strong organizational skills (e.g. planning scheduling prioritizing tasks organizing and allocating resources)
  • Strong team building problem-identification and solving skills with awareness of self and ones impact on others
  • Ability to work and handle stress in a setting with diverse individuals with mental illness and/or behavioral disorders
  • Strong communication listening interpersonal writing and conveying skills bilingual is a plus but not mandatory
  • Ability to continually learn and apply knowledge with a willingness to participate in in-service training and development activities
  • Ability to facilitate meetings and organize time effectively to accomplish all tasks in a timely way and meet deadlines without prompting
  • Strong analytical and presentation skills with attn. to detail (g. prepare and deliver a written or spoken presentation with supporting materials)
  • Ability to read learn analyze interpret and comply with all corresponding state and city regulations policies and procedures (e.g. general business periodicals and reports professional journals financial reports legal documents and/or technical procedures)
  • Knowledge of effective mgmt. process and skills especially as it applies to non-profit orgs. (e.g. plan schedule assign and direct work; appraise and discipline performance; select train and develop employees directing employees toward desired objectives; delegate motivate and control the essential work functions like developing performance standards measuring results taking corrective action)

OFFICE MANAGER TASKS:

  • Provide and orient on-site job and other training opportunities for employees
  • Monitor and record long-distance phone calls controlling all correspondence
  • Liaise with other agencies organizations and groups as appropriate and directed
  • Recruit select coach and discipline office staff helping to evaluate staff performance later
  • Supervise the Admin. Assistant and Medical Records Clerk assigning and monitoring tasks
  • Attend supervisory training and staff development meetings as directed by the Program Director
  • Review and assure approval of purchase orders for supply requisitions verifying receipt of supplies
  • Maintain and replenish office inventory by checking stock to determine supply levels and help to anticipate needed supplies
  • Efficiently plan design define implement manage and maintain all office systems layouts and policies such as record retention etc.
  • Establish and organize standards and procedures for record retention and office operations and equipment recommending equipment procurement
  • Comply and promote compliance with all applicable laws regulations and agency policies helping to strengthen and maintain an ethical organizational culture
  • Design filing and record systems ensuring all systems are effectively transferred protected secured maintained and up to date disposing of those according to retention schedules and policies
  • Perform other job-related tasks as assigned in an organized and detail-oriented manner
