Healthcare Insurance Administrator

The Role:

Support the administration of global healthcare insurance policies by managing documentation coordinating renewals with brokers and ensuring timely invoice payments and reconciliations. Serve as the first point of contact for employee queries maintaining accurate member data in compliance with financial policies and vendor requirements.

Accountabilities:

Policy Administration

  • Collect and organise required information and documents from internal teams to support insurance policy renewals. Share these with the broker within agreed timescales.
  • Raise Purchase Orders process invoices in line with agreed terms and follow up on credit notes as needed.
  • Investigate straightforward finance queries and assist with reconciliation.
  • Prepare and maintain cost and charging summaries to support accurate internal records.

Claims Administration

  • Act as the first point of contact for any staff healthcare claims enquiries which have not been resolved by the insurer.
  • Triage claims enquiries and direct to appropriate team members for resolution.
  • Keep accurate records of communications.

General Administration

  • Provide administrative support across the healthcare insurance function including record-keeping maintaining tracking systems and logging documentation.
  • Support the completion and storage of required documentation including Data Protection and Equality Impact Assessments.
  • Maintain up-to-date records for contract management including meeting notes and database updates

Role specific knowledge and experience:

Essential:

  • Familiarity with insured employee benefits (healthcare life personal accident critical illness) and associated processes.
  • Knowledge of invoice reconciliation and journal management.
  • Experience in vendor coordination and payment tracking. Strong MS Excel skills.

Desirable:

  • Proficiency in Service Now platform.
  • Experience working in an international (matrix) organisation.
  • Familiarity with SAP or similar financial systems.

Role Specific Skills:

  • Strong administrative and financial processing skills
  • Knowledge of financial processes (purchase order creation journalling)
  • Insurance administration
  • Good communication skills
