JOB SUMMARY
The Executive Assistant provides high-level administrative support to the President/Principal and must be
highly organized and have the ability to think critically and offer solutions to problems with a high level of
professionalism. This position is responsible for coordinating scheduling researching compiling and
analyzing information for the President/Principal. The Executive Assistant also works closely with other
members of Kennedy Catholics administrative team to support the smooth operation of the school
including scheduling substitute teachers developing and maintaining the school calendar and weekly
schedules and updating the daily bulletin. This position serves as a source of information for students
families employees the Board of Directors and visitors and requires excellent communication and
interpersonal skills. The Executive Assistant also supports the human resources functions of the school by
maintaining personnel records distributing required forms and documents and posting jobs and supporting
the hiring and onboarding process. The Executive Assistant is a trusted partner maintaining confidentiality2
around highly sensitive information always exhibiting the highest level of professional integrity.
This position will report to the President/Principal and is a 12-month exempt position.
QUALIFICATIONS
Education & Experience
Bachelors degree from a four-year college or university
Minimum 3 years of experience working as an administrative assistant for a high-level executive or in a
position with comparable responsibilities
Experience working in schools and/or Catholic-affiliated organizations preferred

Proficiency in data management systems and strong working knowledge of all Microsoft Office
programs including Outlook Mail Word Excel and PowerPoint; willingness and ability to learn
additional applications as needed

Physical Demands
Required to work in standard office and school conditions and must be able to move throughout the
office and school buildings with movement including but not limited to sit stand bend stoop reach
grab pull climb and descend stairs on a daily basis
Must be able to sit or stand for extended periods of time at an office desk or within assigned
areas at school
Required to perform repetitive physical tasks such as computer keyboarding writing and reading.
Must be able to operate equipment necessary for the position such as but not limited to a computer
office equipment such as copier scanner phone printer etc.
Be able to read a computer screen for extended periods of time
Must be able to move or carry a variety of items including tables chairs boxes and equipment using
proper lifting and carrying techniques or use equipment (carts dollies straps etc.) to assist in the
movement of items
Must be able to work a varied schedule including some evenings and weekends
Must have the ability to travel as necessary
PRIMARY RESPONSIBILITIES
Provides administrative support for the President/Principal which includes coordinating appointments
meetings events and schedule with the all-school calendar
Writes and/or edits letters and other materials as requested
Coordinates meetings and programs as directed
Completes ad hoc projects at the discretion of the President/Principal
Acts as coordinator for Human Resources responsibilities in the Business Office including maintaining
employee personnel files assists in new employee onboarding processes and with agreement creation
for returning faculty and staff
Assists in scheduling faculty and staff training
Maintains job descriptions and job postings for all positions and supports the hiring process for any
vacancies
Manages all substitute and leave requests for the school and arranges substitute teacher coverage
Supports events as requested by the President/Principal (off-site and on-campus) including Back-to-
School events Grandparents Day Admission Events and End-of-Year events
Assists Advancement team as requested with community events
Manages vendors and purchase of goods for events
Establishes and cultivates community relations by open dialogue with all the schools constituencies
Actively participates in the full life of the school
Vigorously engages in their own professional development; is a life-long learner who enhances their
skills using state-of-the-art technologies to maintain high standards of performance
Is familiar with and complies with all policies and regulations as put forth in the schools documents
Takes all necessary and reasonable precautions to protect students faculty staff equipment materials
and facilities
Serve as board secretary: take and distribute minutes for full board meetings
Set up all Board related meetings; including catering and communication
Works with Marketing & Communications to maintain web page for Board of Directors
Maintains a proactive approach to anticipating the needs of the President/Principal and the
administrative team including the preparation for and scheduling of all activities.
Schedules and coordinates leadership team meetings manages agendas and distributes minutes
Other duties as assigned
COMPENSATION & BENEFITS
Any offered salary is determined based on internal equity internal salary ranges market data
applicants skills and prior relevant experience degrees and certifications. Salary is dependent upon
experience certification and education. This position is a full-time 12-month position with a salary
range of $80000-$90000.
