In this role you will assist in the preparation of Department of Health and Human Services and other agencies legislative reporting requirements and provide high level administration and customer service for the Unit.
What youll be doing:
- Administer and maintain the Public Health Unit databases.
- Ensure the integrity of the data within Environmental Health databases.
- Provide administration support to co-ordinator.
- Implement and maintain the Public Health and Wellbeing Act/Food Act registration system and register including processing registrations fees and the production of all necessary reports and documentation.
- Liaise with software vendors Department of Health and Human Services and relevant internal departments to ensure all databases are operating effectively.
- Produce reports based on Department of Health and Human Services regulatory requirements and reporting requirements of other statutory bodies/organisations.

- Process and produce letters reports minutes newsletters brochures and discussion papers initiated by the Team.
- Ensure that information provided to community clients and food business operators or employees is current accurate and provided in a professional timely and helpful manner.
- Carry out general and specific administrative functions and tasks to support the Unit.
- Accurately enter and process all data information reports inspections and audits into the databases as required by the Unit.
- Update the Hume City Council Internet website as directed by the Co-ordinator to ensure accurate timely information is always available
- Process proposed applications and Statements of Trade upon receival.
- Promote an atmosphere of open communication within the team encompassing both problem solving and innovation.
- Process all relevant information into Councils record management system and/or compliant management systems (TRIM MERIT and Health Manager) referring all requests to relevant officers or departments and closing request/information as necessary.
- Lead the publication production process and formatting of all external correspondence (newsletters brochures letters etc..)
- Adhere to Public Health Units policy and procedure manual(s) pertain to all administrative functions.
- Carry out duties as directed by Co-ordinator Public Health that is within incumbents skills and knowledge.
The skills and experience youll bring to the role:
- A nationally recognised Certificate in Administration or a similar field or lesser formal qualifications with relevant administration/database work experience.
- Proven ability to access databases or information from a range of available sources collate and prepare charts graphs or populate reports
- Demonstrated ability in using MS Office computer products (Word Excel PowerPoint) and the ability to access interpret and maintain databases.
- Knowledge of the Public Health and Wellbeing Act/Food Act Registration System
- Office organisation ability including the capacity to develop and maintain appropriate procedures and systems.
- Accurate typing and data entry skills (minimum 60 wpm at 98% accuracy).
- Office organisation ability including the capacity to develop and maintain appropriate procedures and systems.
- Demonstrated sound written and verbal communication skills including the ability to gain co-operation and assistance from internal and external customers from broad and diverse backgrounds age groups and cultures.
- Demonstrated ability to work effectively within a team environment.
