Description of Job

This is a full-time position assigned to Human Resources at the Colorado School for the Deaf and the Blind (CSDB). The Human Resources Office provides management / technical / support services within the domain of human resources to prospective employees and to management and staff of CSDB.

The purpose of this Administrative Assistant III position is: to provide clerical support and other general assistance to CSDB staff to address issues and resolve problems related to all human resources activities (e.g. recruitment and review of applications performance management compensation benefits/leave coordination personnel records employee relations professional development etc.); to provide assistance to the public related to employment with the state/on-line employment application; and to maintain confidential electronic and paper records/files including databases of all information pertaining to personnel as well as the generation of various reports pertaining to personnel. Duties include but are not limited to:

Personnel / Payroll (HR Management) System:Position will assist the HR Specialist II with initiating/preparing all technical documentation (PAFs) in the Human Resources Office and completes paperwork of all bi-weekly and monthly payroll/personnel actions for student workers for input in the personnel and payroll (HR Management) system to maintain employees history benefits and generate pay. May attend related meetings and training to maintain currency on procedures.

Performance Management:Assist the HR Specialist I by monitoring performance management compliance and quality control for classified and non-classified / at-will staff regarding plans mid-year reviews evaluations to include Teacher of the Visually Impaired (TVI) and braille competency goals as needed; provide feedback and support to HR Specialists in relation to objectives and measurement standards; retrieve information from performance management database to generate reports as needed. Other related duties as assigned.

New Employee Orientation / Benefits:Responsible to prepare new hire packets according to appropriate check list in a timely manner. Will be the back-up to the Human Resources Specialist I with staff in groups and individually to provide technical information and assistance related to benefits including open enrollment. Conducts follow-up activities to ensure that all required documentation is received. Other related duties as assigned.

Data Entry:Position is responsible for HR information in multiple databases; Personnel Database; Professional Development Database. Timely entry for staff PD hours into the database is critical for this position. Monitor all databases weekly to ensure updates are completed in a timely manner. CPPS Entry and data management. Infinite Campus data entry. Facilitation of PAFS & in-house documents. Facilitate Form 43s for the department.

Employment Selection-Related Activities:Responsible for selection-related activities to fill vacant positions regarding Substitute Teachers and Temporary Aides to include but not limited to processing applications in Neo Gov and placing them on the Sub Hires Site for hiring managers to review/consider for interviews. Maintain the Subs/Temps roster with updated/accurate information creating yearly interview calendar for hiring managers. Other related duties as assigned.

Information / Records Management:Position acts as official custodian for confidential personnel records under the supervision of Human Resources Specialists adhering to open records laws and other appropriate technical guidelines. Maintains both electronic and physical employee history information various reference sources pertinent correspondence general operational information for easy retrieval and othermiscellaneous information related to human resources issues. Position compiles numerous data/information to generate various reports commensurate with personnel issues. Position maintains databases (personnel staff development performance management recruitment separated employees) utilized by Human Resources. Other related duties as assigned.

MINIMUM QUALIFICATIONS:

Experience Only:
Three (3) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.

Preferred Qualifications:

- Customer service experience in a fast-paced environment;
- Basic clerical and administrative skills such as data entry uploading electronic files managing files/records and answering phones;
- Clerical work experience within Colorado State Government;
- Experience proof-reading editing or creating documents;
- Experience with data-entry checking and verifying.
- Experience working with confidential information;

Special Qualifications

- Proficiency in American Sign Language (ASL) at the INTERMEDIATE skill level; or applicants must be willing to obtain proficiency at that level within a specified period of time as demonstrated by an appropriate assessment tool and according to school policy / procedures.
