The Executive Services Coordinator at the Washington State Employment Security Department (ESD) plays a pivotal role in supporting the Chief of Staff (COS) and Chief Operations Officer (COO). This position is integral to the smooth operation of the division contributing significantly to the agencys mission of providing inclusive workforce solutions that promote economic resilience and prosperity. The Administrative Services Manager ensures effective communication coordination and execution of tasks that align with the strategic goals of the division. This full-time/permanent opportunity is a hybrid position with an expectation of one to two days per week in office located in Olympia Washington.

Duties
The Executive Services Coordinator at the Washington State Employment Security Department (ESD) plays a pivotal role in supporting the Chief of Staff (COS) and Chief Operations Officer (COO). This position is integral to the smooth operation of the division contributing significantly to the agencys mission of providing inclusive workforce solutions that promote economic resilience and prosperity. The Administrative Services Manager ensures effective communication coordination and execution of tasks that align with the strategic goals of the division. This full-time/permanent opportunity is a hybrid position with an expectation of one to two days per week in office located in Olympia Washington.
Some of what youll enjoy doing:
- Participate in Executive Services team meetings and executive leadership administrative assistant meetings.
- Support and provide back-up assistance to committees and meetings as needed.
- Tracks action items and assignments that have been assigned from the COS and COO to the Executive Leadership Team and various employees as necessary. Researches and transmits assignments follow up and results for the COS and COO.
- Assist with different high-level projects assigned by the COS and COO.
- Assists the COS and COO in managing their e-mail prioritize and flag correspondence needing immediate attention and respond to and/or appropriately file routine messages that can be addressed without executive input but has been delegated to the Admin Services Manager to respond to at the executive level.
- Exercise delegated signature authority on behalf of the COS and COO.
- Assist with day-to-day operations and answer questions regarding Executive Services operations functions and policies.
- Works closely with the Executive Services Manager and provides weekly summary on any issues or things that may have Executive Services impact.
- Review/audit and approve expenditures and requisitions for accuracy.
- Edits creates and formats correspondence for the COS and COO. Coordinate and maintain calendars and appointment schedules.
- Coordinates logistics for intrastate interstate and international travel according to state and federal guidelines and maintains supporting documentation per retention policy.
Qualifications
Required:
A combination of education and/or relevant experience equivalent to seven (7) years.
OR:One year as an Administrative Assistant 5
OR: Two years as an Administrative Assistant 4
OR: A bachelors degree in business administration public administration or closely allied fieldAND three (3) years of administrative or supervisory experience Additional qualifying experience may substitute for education on a year-for-year basis. Graduate study may substitute for up to two years of experience on a year-for- year basis.
Qualifying candidates must also have:
Proven ability to interpret counsel and implement complex procedures.
Strong strategic thinking and organizational development skills.
Collaborative mindset with experience drafting cross-functional policies.
Expertise in designing administrative processes and operational workflows.
Mastery of documentation standards and retention protocols.
Organizational excellence and information integrity.
Proficient in stakeholder engagement across divisions.
Additional Requirement of Employment:- Must be able to pass Unemployment Insurance (UI) & Paid Family and Medical Leave (PFML) claim and fraud check.
