Office Manager
Location: Corpus Christi Texas
Classification: Exempt
Position Type: Full-Time Administrative
Reports to: Chief Operating Officer
Position Summary
The Office Manager provides high-level administrative and organizational support to the Chief Operating Officer VP Permitting & Regulatory Affairs and Chief Financial Officer and other executive management as needed while overseeing daily office operations. This role requires exceptional organizational skills attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to the senior leadership team including calendar management travel arrangements expense reporting and correspondence.
- Prepare and manage meetings including scheduling logistics agendas. Prepare materials presentations reports and confidential documents.
- Manage communications on behalf of the Chief Operating Officer ensuring timely responses and professional representation.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
Office Management
- Oversee day-to-day office operations to ensure a professional efficient and well-organized work environment.
- Manage office supplies equipment and vendor relationships.
- Serve as the main contact for facility management and maintenance.
- Develop and maintain office policies and procedures to support smooth operations.
- Support administrative needs of new employees as needed.
Event Planning & Coordination
- As directed by the Corporate Office Manager (Dallas) assist in planning and executing company events meetings conferences and employee engagement activities.
Requirements
Qualifications
- Bachelors degree in Business Administration Communications or a related field preferred.
- Minimum of 57 years of experience in executive support office management or corporate event planning.
- Exceptional organizational time management and multitasking skills.
- Strong written and verbal communication abilities.
- High level of professionalism discretion and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and collaboration tools such as Teams or Zoom.
- Ability to work independently with minimal supervision and exercise sound judgment.
