ESOL Registrar and Attendance Aide
Grant Funded Position
POSITION SUMMARY
The ESOL Registrar and Attendance Aide supports the smooth operation of the Adult Education program by maintaining accurate attendance and registration records communicating with students and assisting with orientation logistics. This position plays a key role in helping students stay engaged and connected with their classes while ensuring program data is accurate and up to date.
REQUIREMENTS:
- High School Diploma or High School Equivalency certificate required.
- Experience working with diverse adult learners including English language learners and individuals from a variety of cultural backgrounds.
- Strong communication and organizational skills with the ability to manage multiple priorities.
- Proficiency in Google Workspace. Zoom. Outlook and database systems
- Willingness to be trained and certified in the administration of ESOL assessments (BEST 3.0 and TABE Clas-E Reading) and to assist with administrations as needed.
- Strong attention to detail and accuracy in maintaining confidential records.
- Ability to work both independently and collaboratively as part of a team.
- Flexibility to work morning and/or evening hours as needed.
- Bilingual fluency required in one of the following combinations: Portuguese/English Spanish/English or Haitian Creole/English.
RESPONSIBILITIES:
- Monitor attendance for all classes daily.
- Communicate with students regarding absences and make appropriate notations on Google attendance sheets.
- Send attendance warnings and drop notices via email and/or text as needed.
- Refer students to appropriate staff members for support or follow-up.
- Coordinate student communication related to monthly orientations:
- Use the list of scheduled students provided by the registrar.
- Email or text orientation reminders one week prior to and two days before the session.
- Notify students who missed their scheduled orientation.
- Provide class Zoom links to students who complete remote orientation.
- Participate in staff meetings trainings and program planning activities as directed.
- Perform additional duties as assigned by the Director or ESOL Registrar

Effective Date of Employment: To be determined
Terms of Employment: Hours not to exceed 18 per week no benefits Grant-funded
Rate of Pay: $24.00 per hour
