Job Summary

The primary purpose of this role is to provide essential support to the sales finance logistics or operations teams by efficiently managing various sales-related processes and administrative tasks. The role involves collaborating with the sales team managing sales orders generating invoices handling return authorisations maintaining master data and providing valuable assistance to ensure smooth sales operations.

Key Performance Outputs

Sales Order Management
  • Work closely with Account and Sales Managers/Directors to create and process accurate sales orders using vessel split and opportunity data. Ensure timely fulfillment to support invoicing and manage re-allocations or new order requests efficiently.
Return Authorization and Credit Management
  • Generate process and approve Return Authorizations related to credits re-allocations and claims. Collaborate with the Finance team to maintain accurate credit and claims management
Commercial Finance Support
  • Prepare claim import sheets following managerial approval assist with credit insurance processes and ensure NetSuite updates are completed promptly. Maintain accurate and compliant financial records for sales transactions.
Master Data Maintenance
  • Manage and distribute client information and agreements ensuring timely collection and proper filing. Support the completion of Credit Insurance forms and update approved client information on Netsuite.
Global Sales Team Support
  • Capture and organize sales leads from trade shows email inquiries and other sources ensuring data accuracy and effective tracking within relevant systems.
Sales Support
  • Respond to customer queries in the absence of Sales Managers or Account Managers provide day-to-day operational support and work collaboratively to improve processes and overall sales efficiency.


Requirements

Education / Qualification
  • BComm Degree in business administration finance or related field (or equivalent experience)
  • Minimum 3-5 years of work experience in sales administration sales order management or customer service support

Functional / Technical Competencies:

  • Proficiency in NetSuite or a similar ERP system.
  • Skilled in Microsoft Office Suite (Excel PowerPoint Word).
  • Basic understanding of financial processes and credit management.
  • Strong customer data management and email communication skills.
Leadership / Behavioral Competencies:
  • Meticulous attention to detail and excellent organizational abilities.
  • Strong communication and interpersonal skills for cross-team collaboration.
  • Ability to prioritize multitask and work independently in a fast-paced environment.
  • Proven ability to build and maintain strong client relationships.

  • Efficient processing and accuracy of sales orders.
  • Timely resolution of returns and credit issues.
  • Up-to-date and compliant customer data.
  • Consistent reliable support for global sales and finance
