Facilities Coordinator - Flagship Campus

Job Description

Beta is a Title I Schoolwide campus. I understand that part or all of this job could be funded with federal funds.

Primary Function

The Facilities Manager is responsible for the safe efficient and high-quality management of all buildings and grounds on the school campus serving approximately 1000 students from 5th through 12th grade. The Facilities Coordinator ensures the campus is clean secure and fully operational to support uninterrupted learning and a positive school climate. This role includes collaboration with custodial and maintenance staff contractor oversight strategic planning and emergency readiness.

Reports to: Campus Principal Dean of Operations

Note: May at times work under the direction of the Chief Business Officer (CBO) for district needs and summer projects.

Outcomes

  1. 100% compliance with all inspection and regulatory requirements (e.g. fire drills ADA OSHA) with the required components documented in Sentinel.

  2. 100% of walk-throughs are completed daily with a signed checklist to document completion.

  3. 90% of work orders responded to within 24 hours with completion or resolution within 48 hours unless there is a documented reason why the work will take longer.

  4. 95% average score from internal cleanliness inspections completed by principals or district officials.

  5. 95% satisfaction rating in annual school-wide facilities survey.

  6. 100% of events supported and set up completed on-time and to the principals or designees specifications with positive post-event feedback from stakeholders.

Facilities Operations and Campus Support

  • Support the Campus Principal and Chief Business Officer with all operational aspects of campusincluding oversight and management of contracts transportation facilities maintenance and campus security.
  • Maintain and assign keys and locks for offices doors cabinets and desks.
  • Collaborate with the Superintendent Principal and Chief Business Officer to ensure appropriate equipment furniture and fixtures are in place to support scholar learning and staff effectiveness.
  • Monitor and enforce consistency in teacher check-in/check-out procedures.
  • Uphold all district-approved policies procedures and documentation standards.
  • Oversee all daily building operations including HVAC electrical plumbing and sanitation systems.
  • Supervise the safety and usability of campus facilities such as playgrounds athletic fields parking areas walkways gym cafeteria and event spaces.
  • Perform facility repairs track trouble tickets and ensure timely response to work orders and repair requests.
  • Conduct daily walkthroughs and inspections to identify and resolve hazards damage or maintenance needs.
  • Implement and manage a comprehensive preventive maintenance plan.
  • Keep workspaces and storage areas organized and free of clutter.
  • Multitask many things at once in a busy campus environment.
  • Develop and maintain Standard Operating Procedures (SOPs) related to facility operations maintenance and safety.

Flag Maintenance and Display Responsibilities

  • Flag Display Rotation:
    Ensure proper display of school flags according to the seasonal schedule outlined in the Beta Academy Flag SOP (e.g. Main Fall Winter Valentines and St. Patricks flags). Replace and store flags at the beginning and end of each designated display period.

  • Flagpole Maintenance:
    Conduct regular inspections of all flagpoles and halyards for wear fraying or damage per the Flagpole Operations and Maintenance (O&M) guidelines. Replace halyards or components as needed to ensure safe operation.

  • Flag Protocols:
    Follow appropriate flag etiquette including correct raising lowering half-staff procedures and lighting requirements in accordance with U.S. Flag Code and Beta Academy policy.

Community

  • Establish presence in the community for outreach and recruiting purposes.
  • Assists in the development of community and strategic partnerships
  • Act as an ambassador of Beta Academy with community groups individuals businesses and elected officials.

Health Safety & Regulatory Compliance

  • Ensure compliance with federal state and local building codes health codes fire codes ADA and OSHA regulations.
  • Conduct monthly safety inspections and maintain safety records and compliance logs.
  • Prepare for inspections from health departments fire marshals and other regulatory bodies; and escort them when on campus.
  • Install and maintain emergency preparedness safety signage.
  • Monitor and maintain high standards of cleanliness in classrooms bathrooms hallways cafeterias and outdoor areas.
  • Monitor indoor air quality and environmental health standards for classrooms and shared spaces.
  • Ensure all fire life and safety systems are inspected and operational.
  • Monitor playground equipment for wear and hazards ensuring daily safety.

Vendor & Contractor Oversight

  • Oversee and report any non-compliance concerns as related to custodial services landscaping pest control waste management and security providers.
  • Ensure third-party vendors meet school safety protocols and background check requirements.

Support for School Operations

  • Ensure campus is operational for daily use and special events (e.g. assemblies open houses seasonal performances).
  • Coordinate and work with the school leadership for arrival/dismissal traffic management.
  • Support moving classroom furniture or equipment and setting up shared spaces as requested by the principal.
  • Inventory
  • Work with the Procurement Director and principal for large expenditure needs that require outside vendors or contractors.
  • Maintain auditable inventory records of all facility-related equipment and supplies; forecast and track usage.
  • Maintain inventory in safe secure and organized condition.
  • Report procurement needs and requests to the district procurement director.

Staff Leadership Responsibilities

  • Execute the schools mission and uphold its vision through high standards in operations. Enforce all board policies school guidelines and administrative directives with consistency. Maintains and models a professional college-preparatory climate across the campus.
  • Recognizes problems and impediments and reports them promptly with options for solutions to the Campus Principal Dean of Operations and CBO for district type needs; promotes and assists with constructive resolutions.
  • Adheres to and enforces board policy school and employee guidelines and administrative directives.
  • Understand the role each Magic Maker holds for >; 98.5% daily attendance and timeliness.
  • Establish and maintain professional and cooperative working relationships with all stakeholders: parents scholars staff neighbors and partners.
  • Supports campus leadership and staff with mentorship programs and VIP initiatives.
  • Supports campus discipline efforts by being a visible proactive presence during high-traffic times.

Minimum Qualifications

  • High school diploma or equivalent required; associates or bachelors degree preferred.
  • Minimum 35 years of relevant facilities or building maintenance experience.
  • Working knowledge of child safety school building operations and OSHA standards.
  • Strong organizational and problem-solving skills.
  • Ability to work independently and communicate effectively with staff students and families.
  • Must be able to lift up to 50 lbs. climb ladders and perform physical labor indoors and outdoors in various inclement weather conditions.
