SUMMARY OF POSITION: This position is the nucleus of our Member Services operations and ensures daily processes run smoothly. The Member Services Assistant ensures that our Members and their guests are greeted warmly and are provided accurate and efficient information as well as handling incoming calls and reservations. Works closely with Catering Director to prepare materials for Club and private events. Assist Member Services Manager with various projects including flyer design mailings and website administration. Completes administrative tasks for other department heads as needed. This is a full-time position which requires the candidate to work some weekend hours and some holidays.

Direct: Member Services Manager
Indirect: Assistant General Manager and Catering Director
WORKING RELATIONSHIP: Interfaces with all departments and management/supervisory staff.
DIRECTLY SUPERVISES: None
REQUIRED KNOWLEDGE / QUALIFICATIONS
Work Experience: At least 1 year of Hospitality/Hotel Industry/Customer Service background preferred. At least 1 year of office receptionist background preferred.
Education: High School Diploma
Technical Knowledge: Must be comfortable learning different computer programs and software to be able to perform the required clerical duties of the position. Must be comfortable with multi-tasking while managing the multi-lined telephone console. Proficiency in Word Excel and Outlook is required. Experience with Canva is preferred. Must be comfortable troubleshooting and maintaining office equipment.
Personal Qualifications / Traits: Must be people-oriented service-minded and have strong written and verbal communication skills. Must have an upbeat attitude and be willing to assist all departments when needed. Must enjoy greeting and making all Members and their guests feel welcomed. Must display critical thinking skills and the ability to problem solve when presented with complaints in order to find resolutions. Must take ownership of maintaining the reception area and keep it looking neat and tidy.
ESSENTIAL JOB TASKS AND RESPONSIBILITIES
1. Be familiar with Clubs policies and procedures and be able to effectively communicate these to Members.
2. Resolve the complaints or issues of the Members and their guests promptly. Report complaints comments or incidents to management when appropriate.
3. Answer telephones and process dining and event reservations changes cancellations and confirmations with care and accuracy according to established procedures. These reservations are done in real time while the Member is on the phone or at the front desk. Communicate changes to department heads when appropriate.
4. Receive sort and distribute incoming mail and packages.
5. Maintain a good level of communication and excellent work relationship with all departments; be proactive in communicating any needs of the Members or guest to department managers when appropriate.
6. Be knowledgeable of upcoming events by reviewing the newsletter house rules website club emails and other written materials so you are informed to answer Member questions on specific events.
7. Assist Members with login issues on website and app.
8. Assist with labeling and stuffing mailings to the Membership in a timely manner.
9. Add postage to mailings as well as outgoing mail from other departments.
10. Communicate with Food & Beverage staff on to-go orders and dining reservation changes. This may require taking the to-go order over the phone and giving that to the manager on duty.
11. Create and print all event related materials including marquees buffet cards and menus. Design event materials and fliers in Canva as needed.
12. Confirm all event registrations with Members via email and make necessary changes.
13. Work with floor plan manager on event party size adjustments and managing waitlists. Print out event lists with changes highlighted.
14. Assist Member Services Manager and other department managers with administrative projects as needed.
15. Assist department heads with copies for meetings as well as weekly event packets.
16. Assist Catering Director as needed typing banquet event orders.
17. Maintain a professional workspace appearance and assist in maintaining the office lobby area.
18. Manage the Canon copier place service calls order supplies assist other employees with copy issues.
19. Be mindful of our goal in providing absolutely the best in service and hospitality to our Members and guests. Anticipate their needs by being proactive.
PAY & BENEFITS OFFERED:
Pay: $25/hour. The work week would be between 32 40 hours per week with paid overtime when needed
