Job Summary:
The HR Coordinator supports the Talent Department in full-cycle recruitment by reviewing and screening applicants coordinating interviews and conducting pre-hire activities such as background checks onboarding and orientation. This role also involves processing terminations and assisting with the leaves process.
Job Responsibilities:
- Assist with reviewing and editing job descriptions
- Create job profiles and job requisitions in Workday and post jobs
- Draft offers for approval obtain approval and present offer documents to candidates
- Schedule interviews with HR and hiring managers
- Effectively communicate with upper management team members and candidates
- Administer and follow up with background checks confirm compliance by ensuring DOT drug test results are received prior to onboarding safety-sensitive personnel
- Process terminations and assist with the leaves process
- Assist with preparing for and hosting the New Hire Experience (onboarding)
- Support day-to-day operations of the Talent Management team
- Enter and process new hires in Workday
- Support recruitment efforts for designated departments or locations as assigned.
- Assist in coordinating and preparing for Career Fairs
- Maintain accurate HR files records and reports in compliance with company policy and regulatory requirements.
- Support performance review activities and maintain accurate employee training and development records.
- Assist with processing and responding to unemployment claims
- Coordinate and schedule exit interviews
- Handle employment verifications and liaise with external vendors such as Equifax.
- Provide administrative support for immigration-related documentation and processes
- Assist with planning and coordinating company events including team lunches celebrations and employee engagement activities.
- Support the execution of HR-related communications ensuring clear and timely distribution of announcements updates and initiatives.
- Monitor HR workflows and processes to ensure necessary approvals are obtained promptly and accurately.
- Manage the HR inbox triaging inquiries and ensuring timely and professional responses to employee questions.
- Serve as a primary point of contact for employees providing support and guidance on HR-related matters.
- Occasionally visit other Miami-area locations to provide on-site HR support and act as a direct liaison for employees at those sites.
- Assist with special projects and ad hoc needs
- Perform other administrative tasks dictated by business needs
Job Requirements:
Education and Experience:
- Bachelors degree in a related field (preferred)
- At least 12 years of experience in recruiting HR or administrative support roles
Skills and Abilities:
- Excellent communication skills
- Strong organizational and follow-through skills
- Strong attention to detail and accuracy in data entry and documentation
- Ability to handle sensitive or complex situations with sound judgment
- Strong problem-solving and multitasking abilities
