The Housing Authority of the City of Austin (HACA) is looking for a Payroll Specialist to join our high-performing Finance Team. This role is responsible for supporting administrative and clerical functions within the Finance Department ensuring accurate and timely payroll processing and maintaining financial records. HACA has been a leader in affordable housing in the City of Austin for more than 85 partnership with the U.S. Department of Housing and Urban Development local government entities and numerous non-profit agencies HACA provides access to safe stable housing to over 20000 individuals.
What you will do in this position:
- Payroll Processing:
- Processes bi-weekly payroll including auditing and summarizing timesheets and leave slips.
- Enters and processes payroll data in the system.
- Prepares and routes payroll checks and related tax returns.
- Financial Reporting & Compliance:
- Prepares payroll-related tax returns and check requests.
- Reconciles and transmits payroll taxes and employee benefit payments monthly.
- Generates and distributes W-2s 1099s and other financial reports.
- Data Management & Record Keeping:
- Maintains and updates employee records including salary benefits direct deposit and tax information.
- Compiles and verifies payroll data for accuracy.
- Assists in generating reports related to payroll and Assisted Housing payments.
- System Maintenance & User Support:
- Performs routine system monitoring backups and minor equipment maintenance.
- Assist users with payroll system troubleshooting and training as needed.
- General Accounting Support:
- Assists with reconciliations general ledger entries and grant reporting.
- Prepares quarterly reports and submits to taxing authorities.
- Supports financial closeout activities.
- Other Duties:
- Responds to payroll-related inquiries.
- Performs other assigned tasks as directed by the supervisor.
More about this position:
- Qualified candidates must possess:
- Associates degree in Business Accounting Finance or a related field plus one year of experience; OR
- High school diploma/GED with two to three years of payroll or accounting experience; OR
- An equivalent combination of education and experience.
- Strong knowledge of accounting principles and payroll processing.
- Proficiency in Microsoft Office Suite (Excel Word PowerPoint Access).
- Excellent attention to detail organizational and communication skills.
- Preferred candidate should possess:
- Bachelors degree in Accounting Finance Business Management or a related field.
- Four to five years of payroll or accounting experience.
- Ability to work with individuals from diverse backgrounds.
- Strong analytical and problem-solving skills.
- Experience with financial software and payroll systems.
