JOB SUMMARY:
The Senior Coordinator Workplace Operations is responsible for supporting the day-to-day operations of Universal Creatives workplace environments. This role ensures that workplace services including facilities administrative support and team member onboarding are delivered efficiently and consistently across the organization. The coordinator serves as a central point of contact for workplace-related issues facilitates cross-functional communication and supports initiatives that enhance the employee experience and operational effectiveness.
MAJOR RESPONSIBILITIES:
- Workplace Services Coordination: The Senior Coordinator serves as the primary liaison for all workplace operations ensuring that facilities and administrative services are delivered efficiently and consistently across Universal Creative. This includes managing and prioritizing trouble tickets through incident management systems coordinating with internal departments such as IT Facilities and Administration and working with external vendors to resolve issues promptly. The coordinator plays a key role in maintaining a seamless work environment by supporting space planning office moves and general workplace logistics. Their proactive approach helps ensure that team members have the resources and support needed to perform their roles effectively.
- Administrative Support & Documentation: The Coordinator is responsible for maintaining accurate and organized departmental documentation including policies procedures and operational records. They manage shared drives and digital repositories to ensure that information is easily accessible and up to date. This includes creating and updating internal resources supporting compliance with company standards and assisting in the development of new documentation tools and templates that enhance operational efficiency.
- Cross-Functional Collaboration: A key aspect of this role is facilitating communication and coordination between Workplace Operations and other departments such as Legal Finance Creative Studio and Attraction Development. The coordinator supports cross-functional initiatives by tracking action items scheduling meetings and ensuring timely follow-up on decisions and deliverables. Their ability to maintain alignment across diverse teams helps drive consistency and collaboration in workplace-related activities.
- Technology Workspace & Tools: The Coordinator contributes to the identification and implementation of technologies and tools that improve workplace operations. This role is instrumental in supporting the onboarding process for new hires transfers and separations. The coordinator ensures that all workplace-related aspects of onboarding are executed smoothly including workspace setup technology deployment (in partnership with IT) and welcome communications.
- Team Engagement & Culture: Beyond operational responsibilities the coordinator plays a vital role in fostering a positive and collaborative team culture. They actively participate in team meetings contribute to engagement initiatives and embody Universal Creatives mission and values. By maintaining a solutions-oriented mindset and promoting open communication the coordinator helps build a workplace environment that supports innovation inclusion and employee satisfaction.
- Understand and actively participate in Environmental Health & Safety responsibilities by following established UO policy procedures training and team member involvement activities.
- Performs other duties as assigned.
ADDITIONAL INFORMATION:
- Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.
EDUCATION:
- Bachelors degree in business administration Facilities Management or a related field is preferred.
EXPERIENCE:
- 2 years of experience in workplace operations coordinator facilities or administrative support experience in themed entertainment construction or creative industries preferred; or equivalent combination of education and experience.
