Job Summary
Summary:
The Office Assistant supports daily front-office and production administration for a busy machine shop. This role processes sales orders maintains documentation across BTS/Precision/Kanban systems coordinates purchasing assists with shipping (domestic & international) and keeps inventory records synchronized. The ideal candidate is detail-oriented reliable and comfortable working with ERP/MRP tools in a manufacturing environment.
Essential Duties and Responsibilities:
Enter and manage sales orders verify customer details and update production schedules.
Prepare and maintain work orders routers and associated documentation.
Coordinate with production and shipping to ensure accurate order tracking and timely delivery.
Create and manage purchase orders for raw materials and non-inventory items.
Support Accounts Receivable by monitoring collections and preparing reports.
Handle invoicing scanning and electronic recordkeeping in various systems.
Maintain office and shop essentials inventory.
Assist with domestic and international shipping paperwork and coordination.
Performs other duties as assigned.
Qualifications:
Flexibility and the ability to prioritize new tasks as they come in.
Attention to detail and accuracy
Time management and excellent communication skills.
High School diploma or GED
US Person pursuant to ITAR / EAR
Good mathematical skills
Support periodic inventory counts and data accuracy across ERP systems.
