Job Description: Thompson Gray Inc. is seeking a professional organized and customer-focused Receptionist / Office Administrator to serve as the first point of contact at our corporate headquarters. This position supports daily office operations greets visitors and clients manages incoming calls assists with administrative tasks and ensures an efficient welcoming office environment.
The ideal candidate will be a dependable multitasker with excellent communication skills and strong attention to detail. This role is essential in supporting our companys day-to-day administrative and facility functions while upholding Thompson Grays commitment to professionalism and exceptional service.

Reports To: Director of Business Operations
Duties:
- Serve as the primary front-desk representative and first point of contact for all visitors clients and vendors.
- Answer and route incoming calls monitor the main company inbox and ensure timely responses to general inquiries.
- Maintain conference room schedules manage visitor check-in/out procedures and prepare meeting spaces as needed.
- Support office operations including mail and package handling supply ordering and coordination with facility vendors.
- Assist with onboarding and offboarding logistics including issuing access badges preparing new hire materials and coordinating workspace readiness.
- Provide administrative support to corporate departments (HR Accounting Security etc.) as assigned.
- Maintain a professional organized and welcoming office environment consistent with company standards.
- Support planning and logistics for company meetings events and employee engagement activities.
- Serve as a liaison for building management maintenance and service vendors.
- Perform additional administrative and clerical duties as needed.
Required Qualifications:
- High school diploma
- 3 years of experience in an administrative receptionist or office support role
- Excellent verbal and written communication skills.
- Strong organizational skills with ability to prioritize and manage multiple tasks.
- Proficiency in Microsoft 365 (Outlook Word Excel Teams).
- Professional demeanor punctuality and discretion with sensitive information.
- Experience supporting a corporate or government contracting environment is a plus.
- US Citizenship Required
Preferred Qualifications:
- Associates degree or higher education
- 5 years of experience in an administrative receptionist or office support role
