Job Summary:The Administrative Assistant for Special Education provides clerical organizational and program support to the special education department. This position assists administrators teachers and service providers in maintaining compliance with state and federal regulations supporting IEP processes and ensuring effective communication with families staff and outside agencies.
Essential Duties & Responsibilities:
- Provide administrative support to the Director of Special Education and department staff.
- Maintain accurate and confidential student records in compliance with IDEA Article 7 and district policies.
- Enter and update data in the special education management system and student information systems.
- Support state reporting and compliance documentation for special education.
- Serve as a point of contact for staff and parents regarding special education forms timelines and procedures.
- Coordinate and complete records requests in accordance with confidentiality requirements.
- Assist with billing purchase orders and budget tracking as directed.
- Maintain confidentiality of all student and personnel information.
- Perform other duties as assigned to support the effective operation of the special education department.
Qualifications & Skills:
- High school diploma or equivalent (Associates degree preferred).
- Prior experience in a school or special education setting preferred.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office Google Workspace and student management systems.
- Ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills
- Ability to work independently and collaboratively in a fast-paced environment.
PHYSICAL DEMANDS:The physical demands described here are representative of those that must be met by an employee to successfully preform the essential functions of the job.
The general physical demands include: standing up to four hours climbingbending stooping and lifting up to 20 lbs as part of routine job activities withinthe classroom environment. Reasonable accommodations may be made toenable individuals with disabilities to perform the essential functions.
