Job description for Personal Secretary:
- Daily Scheduling & Calendar Management
- Manage and block your daily calendar across all 4 companies.
- Confirm and remind you of upcoming meetings calls events and shoots.
- Prioritize and color-code meetings (e.g. Reliserv blue Digitalzaa pink Fairytales Casa black).
- Reschedule or cancel meetings when required.
- Prepare your daily agenda by 9:00 AM.
2. Communication & Coordination
- Act as the first point of contact for internal and external communication.
- Draft and send emails WhatsApp messages and follow-ups on your behalf.
- Filter and forward only important calls or messages to you.
- Send meeting reminders to teams and clients.
- Maintain polite professional tone in all CEO communications.
3. Task Tracking & Dashboard Updates
- Ensure Reva dashboards are updated daily for all businesses.
- Follow up with department heads for task status and KPIs.
- Prepare an end-of-day CEO briefing with key updates.
- Track your personal to-dos pending approvals and critical escalations.
4. Documentation & Reporting
- Collect daily reports from Sales Marketing Finance Operations & HR.
- Summarize reports into one concise document / deck for your review.
- Maintain soft copies of MoMs (Minutes of Meeting) contracts quotations etc.
- Ensure documents needing your signature are queued properly.
5. Travel Events & Lifestyle Support
- Plan and book travel (business trips conferences personal events).
- Coordinate with vendors and event teams for CEO appearances.
- Handle boutique visits shoots PR events and award functions.
- Maintain your wardrobe shoot calendar and PR gifting schedule (if required).
6. CEO Support & Personal Efficiency
- Remind you of key personal appointments (family medical personal errands).
- Handle small personal admin work courier printing scheduling vendor payments etc.
- Keep a daily note of CEO wins highlights and priority focus.
- Ensure a smooth transition between your multiple company roles each day.
7. Proactive Execution (Not Just Reactive)
- Identify tasks you can delegate.
- Suggest what can be automated or optimized.
- Create structured reminders so nothing slips through the cracks.
- Prepare small briefs before each meeting so you are informed.
