Summary: Under the supervision of the Extended Care Services Program Director the Preferred Communities (PC) Program Coordinator oversees the daily operations service delivery and staff support for the Preferred Communities program. This role ensures that intensive case management services are planned effective culturally responsive and timely supporting eligible clients in achieving safety stability and long-term self-sufficiency. The Program Coordinator provides day-to-day leadership to PC caseworkers monitors documentation and compliance requirements assists with direct service when needed and supports program development reporting and community partnerships. This position plays a key role in maintaining program fidelity to federal guidelines state contracts and agency quality standards.

Position Responsibilities:

Program Coordination & Supervision

  • *Manage workflow caseload distribution and task assignments for PC caseworkers to ensure timely and high-quality service delivery.
  • *Provide ongoing guidance coaching and technical support to staff; elevate concerns to the Program Director as needed.
  • *Assist the Program Director in developing and delivering staff trainings on documentation standards program expectations trauma-informed care and intensive case management practices.

Documentation Compliance & Quality Assurance

  • *Monitor case files regularly to ensure completeness accuracy and alignment with federal state and agency requirements.
  • *Review and maintain up-to-date client files including intakes assessments service plans case notes and all required documentation.
  • Support internal and external monitoring activities; prepare documentation for audits and follow up on corrective actions.
  • Ensure staff follow all retention policies and adhere to the Code of Conduct Faith and Moral expectations and confidentiality rules.

Program Development & Reporting

  • Complete required federal and state program reports including monthly and semi-annual reports.
  • Develop and maintain tracking tools and spreadsheets to monitor client outcomes services delivered and program performance indicators.
  • Participate in webinars and relevant trainings to stay current on program updates best practices and compliance requirements.
  • Assist in identifying and developing resourcesvolunteers donors partnersthat strengthen program performance and client support.

Direct Client Support

  • Provide backup intensive case management services including field/home visits when staffing needs or client circumstances require additional support.
  • Assist with referrals to internal and external services ensuring warm handoffs and clear communication with partner agencies.

Community Partnerships

  • Support the Program Director in cultivating and maintaining positive relationships with funders monitoring entities faith-based partners and community organizations.
  • Participate in community meetings and collaborations that enhance program awareness and client access to services.

Communication & Team Collaboration

  • Maintain regular clear communication with the Program Director PC team and all Refugee Resettlement Services staff.
  • Address client or program concerns promptly documenting and elevating issues appropriately.

Administrative & Operational Duties

  • Complete weekly schedules bi-monthly timesheets monthly mileage logs and other administrative tasks as required.
  • Participate in professional development opportunities to expand program knowledge and skills.
  • Follow all safety protocols and exercise precautionary measures to ensure the well-being of clientscolleagues and self.
  • Must be sensitive to the service populations cultural and socioeconomic characteristics.
  • Adherence to the Code of Conduct and the Faith and Moral is mandatory.

Requirements

Minimum Qualifications:

  • Education
    • Bachelors degree preferred but not required; or equivalent of 4 years experience in a social service field.
  • License and Credentials
    • Reliable transportation
    • Valid driver license
    • Valid vehicle insurance
    • Clean driving record

Minimum Knowledge and Skills:

  • Knowledge and ability to interpret State and Federal Contracts and Grants.
  • Knowledge and ability to Interpret Program Manuals and Operational Guidelines.
  • Knowledge of client files documentation and record keeping.
  • Skilled in using personal computer various software email and internet
  • A solid grasp of file documentation and record keeping.
  • Must be detail oriented organized self-motivated work well independently and on a team.
  • Must have good written and verbal skills.
  • Must have good critical thinking and problem solving skills.
  • Ability to work under pressure to meet organizational needs and other deadlines.
  • Ability and willingness to work some evening and/or weekend hours as needed.
