Job Summary:

The Health & Well-Being Institute Administrative Manager serves a vital role in advancing the Health & Well-Being Institutes mission. Principal duties include project management and administrative support to outreach program initiatives in the areas of finance human resources and operations. The Administrative Manager will work closely with Institute leadership faculty and staff to develop and monitor budgets support the growth and tracking of extramural funding program revenue and expenditures and facilitate subaward and vendor engagement.

This role includes supervisory responsibilities for at least one full-time staff member and multiple student hourly employees.

The position functions in a fast-paced multi-faceted respectful office with day-to-day variety. It will work to create and improve systems to increase efficiency and function collaborate with a wide range of individuals and be an excellent communicator.

Partial Remote

This position may require some work to be performed in-person onsite at a designated campus work location. Some work may be performed remotely at an offsite non-campus work location. Remote work requires an approved remote work agreement (RWA). A RWA requires successful candidates to possess their own high-speed internet and phone to perform the work on a university provided computer. Per University policy transportation between home and assigned work location is not payable/reimbursable and will be at the expense of the employee.

Applicants are required to: Have a valid drivers license and a reliable source of independent transportation for periodic in-state work travel and/or comply with requirements for UW-Madison vehicle use authorization.

Key Job Responsibilities:

  • Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • Leads the development and preparation of periodic reports and financial statements and records progress status or other special reports for leadership or external agencies
  • Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies procedures and specifications
  • May exercise supervisory authority including hiring transferring suspending promoting managing conduct and performance discharging assigning rewarding disciplining and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • Identifies workflow needs contributes to the development of strategic and operational solutions allocates resources and implements new or revised unit operational policies and procedures
  • Plans implements executes and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement

Compensation:

The minimum annual (12 months) starting salary for the position is $70000 but is negotiable based on experience and qualifications.

Required Qualifications:

  • Strong organizational skills and attention to details

  • Evidence of effectively working independently and in a team environment

  • Experience creating monitoring and balancing program and/or project budgets

  • Work experience in higher education structure fiscal and administrative policies and procedures.

  • Ability to interact and work with a range of individuals with a high-level of professionalism flexibility judgement and tact

  • Demonstrated ability to effectively work with people from a wide range of backgrounds and perspectives

Preferred Qualifications:

  • 3 or more years of experience related to the core job responsibilities

  • Supervisory experience

  • Work experience managing grants

  • Evidence of ability to communicate ideas effectively orally in writing and through technology platforms
