Job Summary

The Administrative Assistant to the Managing Partner and other members of the leadership team provides high-level administrative and operational support in a dynamic consulting environment. This role manages complex calendars coordinates meetings and travel and serves as a trusted liaison ensuring priorities are met and communication flows efficiently across teams and clients. The Assistant exercises sound judgment and discretion in handling sensitive information proactively anticipates Partner needs and streamlines processes to enhance productivity. Responsibilities include managing correspondence preparing materials and reports supporting relationship-building initiatives and ensuring timely and accurate expense and time reporting.

Business & Cultural Alignment: Understands how administrative support drives firm success. Acts with integrity discretion and a client-first mindset embodying firm values and contributing to a positive high-performance culture.

General Responsibilities

    • Email and Calendar Management Maintains multiple Partner calendars and email accounts while exercising discretion and evaluating needs.
    • Schedules and coordinates meetings calls and events with internal and external parties making all required arrangements.
    • Communicates and resolves scheduling conflicts that might arise. Keeps a strategic eye on what meetings are necessary for each Partner to attend and coordinates coverage and updates if Partner is unavailable.
    • Tracks key events for Partner teams including deadlines and captures outcomes and next steps to facilitate follow through.
    • Drafts reviews and sends email communications on behalf of Partners.
    • Prioritizes emails and responds when necessary.
    • Builds a streamlined process for daily prioritization communication and execution within the partners.

    • Travel Coordination Coordinates travel logistics and manages travel itineraries for multiple Partners ensuring proper preparation and maximization of their time.
    • Reserves flights accommodations rental cars.
    • Coordinates drivers and other support staff to ensure smooth operation of the trip.
    • Processes all travel expenses and reimbursements for Partners.

    • Reporting Develops and logs accurate time and expense reporting for Partners through the ERP system in support of timely submission.

    • Systems & ProcessesLeverages technology and continuously identified opportunities to improve administrative workflows and communication efficiency.

    • Communication Effectively communicates verbally and in writing with individuals internally and externally in a professional manner.
    • Keeps Partners advised of time-sensitive and priority issues ensuring appropriate follow-up.
    • Prepares and edits correspondence communications presentations and other documents as needed.
    • Supports Partners in relationship building initiatives with key targets.
    • Coordinates internal team and client meetings including planning and scheduling identification of best way to join different groups and manage all associated communications.

Requirements

    • Education: Associate degree required; undergraduate degree preferred
    • Experience: Two or more years of administrative or hospitality experience required
    • Skills: Proven proficiency inMicrosoft Word Excel PowerPoint and Outlook Strong written and verbal communication skills
    • Abilities: Strong technical capabilities excellent follow through ability to balance and adapt to multiple shifting priorities ability to take initiative and complete tasks independently ability to engage employees and clients by creating moments that leave a lasting impression on every person

Working Conditions

    • The work environment requires the ability to stand and sit for long periods of time.
    • Needs to be able to work evenings weekends holidays and overtime as necessary.
    • Required ability to travel independently via car train plane or other methods to MGHQ or client site.
$60000 - $90000 a year
