POSITION: Program Specialist (A) REPORTS TO: Vice President Learning ACHE is a hybrid work environment requiring 2 days per week in our Chicago loop office and as such only Chicago area based candidates will be considered. PURPOSE The purpose of this job is to serve our members customers and co-workers.SUMMARYThis position works with the Learn Management Team to manage the operational aspects of ACHEs Executive Program Boot Camps and conferences and other Special Programs for senior-level healthcare executives both in-person and virtual. This includes program faculty and site visit management functions marketing coordination select meeting planning tasks Zoom logistics and session hosting data collection and analysis and onsite logistics and attendee support.JOB FUNCTIONS - Program Content Development and Delivery of ACHE Executive Program and Other Offerings 70% of Time
- In collaboration with the Learn Management team executes the delivery of educational programs from inception to feedback including theme development interaction with faculty and site visit leaders marketing communications monitoring event budget program materials review and preparation assessment administration and tracking and reviewing evaluations and program outcomes.
- Provides project management support to implement and monitor event promotional campaigns; modifies as necessary to ensure goals are met.
- Responsible for on-site coordination for ACHEs Executive Program and Boot Camps. Serves as primary faculty contact and secondary hotel and contact for room set-up food and beverage requests audio-visual needs and program materials in collaboration with the Director of Event Experience and/or Meeting Planner.
- If the program is virtual coordinate the course build in the Learning Management System with the instructional designer and quality check the materials before the course is activated. Host select sessions through Zoom which includes managing polls breakout rooms and general faculty and attendee management.
- Responsible for tracking and contributing to the budgets for ACHEs Executive Program.
- Prepares necessary reports within established guidelines and timeline.
- Based on program evaluation reports and other data recommends opportunities for improvement.
- Conference Program Coordination 20 % of Time
- Works closely with the Vice President Learning to coordinate major sessions for Congress and virtual conference(s) that target senior-level healthcare executives. This includes coordinating prep calls confirming logistics and consolidating content for review.
- Based on program evaluation reports and other data recommends opportunities for improvement.
- Other Responsibilities 10 % of Time
- Provide support for webinars as needed including moderation and faculty management.
- Collaborate with Communications and Marketing Department on written and other resources targeting senior-level healthcare executives.
- Other duties/projects as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS - Bachelors degree in healthcare management or education. Masters degree preferred.
- Minimum of three years of experience in association management healthcare management education or a closely related field.
- Experience with meeting planning functions including venue contracting food/beverage A/V etc.
- Must be well-organized and detail-oriented; able to work independently and make sound decisions in uncertain situations especially while onsite.
- Strong written and verbal communication skills; able to communicate knowledge and concepts clearly and diplomatically as well as tailor communications to a variety of stakeholders and situations.
- Strong data analysis skills.
- Proficient in the Microsoft Office Suite; working knowledge of Learning Management Systems and Zoom required.
- Understanding of association management software and reporting.
OTHER REQUIREMENTS- Regular and predictable attendance.
- Displays a strong team and customer service orientation.
- Ability to travel up to 20% of the time.
COMPENSATION This is an exempt/salaried role paid on a bi-weekly basis. We anticipate filling this position in a salary range of $65000 - $80000 annually. This salary range represents ACHEs good faith estimate of the possible compensation offer for this role at the time of posting. The compensation offered will take the following into consideration: education relevant experience certifications organizational budget and market estimates for the role.
