ResponsibilitiesAs a member of our Real Estate and Facilities team you will assist the building or office manager in all aspects of daily operations. This may include managing Oracles office space and equipment. Ensure adherence to company guidelines processes and building and safety codes. Obtain review and estimate design costs including equipment installation labor materials and preparation. Prepare annual budget. Conduct benchmarking.
- Validation of monthly from partner IFM ensuring accuracy in management fees payroll and platform charges.
- Tracking of miscellaneous billing items (e.g. travel costs and reimbursements) to ensure actuals are within approved budgets and to provide accurate reporting.
- Weekly approval of non-budgeted items after validating that baseline items are correctly excluded.
- Monthly financial reporting reviews including forecast vs. actuals PO billing reports accruals and savings initiatives tracking.
- Review and maintenance of the Oracle Responsibility Matrix (ORM) to ensure accuracy in square footage and scope changes.
- Scope change control and impact tracking on billing and purchase orders.
- Review of financial analyses in business cases
- Consolidation of employee ideas for workspace enhancement and provided additional descriptions with steps for implementation.
- Update the Headcount Trending report template
- Review of ORM by checking JAPAC BI Dashboard against the FUSF and Change Log Template.
- Comparing staffing list details against the Oracle Connections directory.
