The Opportunity:

The Administrative Assistant III provides administrative support and assistance to the administration of the Computer Science Department. Performs administrative and clerical functions for the department including answering phones; greeting referring and assisting visitors customers staff and others; preparing documents and reports; compiling records; scheduling meetings; organizing and maintaining information; coordinating calendars; and providing high-level administrative assistance to the Chair and faculty.

Responsibilities:

  • Chair and Executive Support Serve as the primary assistant to the Department Chair; schedule and coordinate meetings (in-person and virtual) with faculty staff students and visitors; provide administrative support to the Chair faculty and senior staff including human resources and financial staff.

  • Data Collection Reporting and Management Prepare and edit correspondence reports spreadsheets presentations flyers and other communications; coordinate document routing and information requests; ensure compliance with university and CECS deadlines and policies; collect statistical information and program metrics for reporting to the College; maintain departmental records databases and archives.

  • Liaison and Coordination Act as point of contact between the department and CECS Deans Office other CECS departments and SET staff; coordinate and monitor completion of departmental action items requiring submission to the College or other units.

  • Front Office Operations Reception Management and Facilities Oversee reception area operations; provide professional front-office support and general clerical assistance to faculty staff students and visitors; manage office communications and inquiries. Manage inventory and the ordering of office supplies; handle receiving and distribution of departmental mail and packages; coordinate departmental facilities and equipment needs with the Facility Manager.

  • Faculty Recruitment and Special Projects Provide administrative support to faculty search committees including scheduling candidate meetings preparing materials note-taking and coordinating travel arrangements and itineraries; assist with other special administrative projects as assigned.

  • Event Coordination HR and Onboarding Support Organize departmental events including faculty meetings retreats advisory board meetings conferences and special events; manage logistics such as space reservations agendas materials refreshments and invitations. Assist with onboarding of new faculty/staff including access requests and orientation; support HR-related processes and maintain personnel files and accreditation documentation.

  • Other Duties Perform other related administrative duties as assigned to ensure efficient departmental operations.

Minimum Qualifications:

High School Diploma or Equivalent and 4 years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:

  • Bachelors or Masters degree in Business Administration Communications Writing or a related field.

  • 3-5 years of experience in an administrative environment preferably in higher education or a large organizational setting.

  • Strong organizational and time-management skills with the ability to manage multiple priorities and meet deadlines.

  • Excellent written and verbal communication skills including experience preparing reports presentations and professional correspondence.

  • Ability to work independently and collaboratively with a high level of professionalism and discretion.

  • Knowledge of university systems and policies (e.g. HR finance facilities) is a plus.
