The Global Indirect Facilities & Procurement Buyer will provide support for all our Global sites. The Global Indirect Facilities & Procurement Buyer will provide guidance advice and support to ensure procurement processes are effective efficient and provide the best possible value to the business. This role includes support to the office managers in managing the day-to-day operations of the locations and different project-based tasks driven from the site requirements.



Responsibilities:

Procurement Responsibilities:

  • Analyses negotiates and review of contractual agreements ensuring appropriate terms and conditions are included to protect the interests of Medison;
  • Manage the procurement process including sourcing bidding and contract management for: facilities building management services constructions repairs furniture office security car leasing mobile provides etc.
  • Monitors and reviews progress of contractual agreements coordinates renewal as appropriate
  • reviews and approves invoices for payment and resolves any problems that arise.
  • Support implementation of procurement policies and standard operating/facilities procedures; and identify opportunities for continuous improvement.
  • Perform other duties and functions as assigned.

Facilities Responsibilities:

  • Support the office manager with all aspects of general office administration and facility management including: Office supplies cafeteria cleaning etc.
  • Responsibility for implementation and enforcement of EHSS (Environment Health Security and Safety) in the offices.
  • Manage and monitor all facilities related vendors contract renewals and related yearly budgets.
  • Provides support in the areas of office renovations and renovation projects such as preparing cost estimates project specifications and requirements draft project timelines and work schedules review timelines of construction activities for proper sequencing and ensuring a minimum of delay to the project solicits price quotations draft construction contracts for signature by the Manager.
  • Support internal office moves by reviewing requirements plans drafting tender and contracts and ensuring coordination of move activities

Requirements:

Required education and experience

  • At least 3 years experience of multi-site multi-country facilities management; procurement and administration experience also essential.
  • Advance knowledge of Excel is a must.
  • Basic office software tools (MS Word Outlook Google)
  • Experience with NetSuite will be additional asset.
  • Strong ability to manage competing priorities and projects.
  • Strong interpersonal and communication skills with the ability to build relationships. across
  • departments work collaboratively and manage conflict constructively.
  • Ability to remain agile and multi-task effectively in a fast-paced environment.
  • Capable of prioritizing tasks/duties as assigned and delegating tasks as needed.
  • Experience with international organizations
  • Very high service orientation
  • Detail-oriented and accurate
  • Travel will be required to visit the different sites from time to time
  • Great communication skills in English
