Job Summary

Job Summary/Basic Function:

The Director has overall oversight and responsibility for the handling administration and management of the design and execution of philanthropic gift record processing for the Boise State Foundation and the staff supporting these functions. The position focuses on managing the team responsible for all operational aspects for the successful recording maintenance reconciliation receipt and documentation of private gifts and grants to Boise State University the Foundation and other affiliated entities.

Department Overview:

A nonprofit Idaho organization the Boise State University Foundation was established in 1964 for the benefit of Boise State University. We work to secure philanthropic support for the university by developing and nurturing relationships with our alumni and friends and stewarding gifts made to support Boise State. The Foundation works closely with university leadership the Boise State University Alumni Association and the Bronco Athletic Association.

Mission: To build a greater Boise State University we provide fundraising leadership and service across the university and partner with donors and alumni to inspire private support.

Level Scope:

Spends the majority of time (50% or more) achieving organizational objectives through the coordinated achievements of subordinate staff. Manages experienced professionals who exercise latitude and independence in assignments. Establishes departmental goals and objectives functions with autonomy. Manages the accountability and stewardship of human financial and often physical resources in compliance with departmental and campus wide goals and objectives. Ensures subordinate supervisors and professionals adhere to defined internal controls with a focus on policy and strategy implementation. Manages systems and procedures to protect departmental assets and requires practical knowledge in leading and managing the execution of processes projects and tactics within one area. May report to a Chair Unit Director or equivalent administrative management.

Essential Functions:

60% of the time the Director of Gift Handling & Administration must:

  • Provide strategic direction and oversight for the Gift Handling & Administration team. Thoughtfully manage develop and coach the team to achieve organizational goals. Promote cross-training for Gift Handling staff to maintain specialization and provide separation of duties while load balancing resources to provide capacity to meet changes in demand or during periods of vacancy or PTO.
  • Oversees daily gift processing workflows to ensure accuracy efficiency and compliance with university and IRS regulations.
  • Design and produce specialized reports on high-volume donors in coordination with the Development Team to track transaction activity validate data accuracy and deliver actionable insights for advancement operations.
  • Implements and monitors internal controls to safeguard data integrity and minimize risk in gift handling operations.
  • Collaborates with Advancement Services and IT teams to enhance systems reporting tools and automation for improved efficiency.
  • Develops and maintains documentation training and standard operating procedures for gift processing and reporting functions.
  • Responsible for daily monthly and other ad-hoc reports as well as donor receipting and acknowledgments.
  • Work closely with the Foundation finance team to post and reconcile gift and pledge transactions to the financial accounting system of record (Blackbaud Financial Edge NXT). Perform special assessments and audits as needed or requested. Identify and facilitate gift corrections and adjustments.
  • Work with Development Directors Stewardship and Donor Relations to ensure high-quality accurate and timely gift acknowledgments and receipts.
  • Maintain procedures supporting best practices ethical and professional research standards leveraging technology data integrity and data security.

35% of the time the Director of Gift Handling & Administration must:

  • Build and maintain relationships with Foundation and affiliated organization colleagues to maintain awareness of donor preferences and intent gift designations and fund attribution as well as to serve as the first point of contact for inquiries and research regarding donor giving records.
  • Oversee management of and provide input and approval for the Foundations Gift Agreement process and pledge record documentation.

5% of the time the Director of Gift Handling & Administration must:

  • Perform other duties as assigned.

  • Thorough knowledge of ethical standards and best practices in gift processing with commitment to industry guidelines (e.g. ADRP CASE).
  • Strong problem-solving abilities and be able to exercise independent initiative as appropriate. Attention to detail is critical.
  • Well organized self-motivated; able to work on multiple tasks simultaneously.
  • Strong interpersonal communication skills and the ability to communicate effectively and efficiently with co-workers and constituents in a highly professional manner.

  • Demonstrated ability to handle financial instruments and sensitive financial documents ethically and appropriately.
  • Experience in utilizing financial systems to extract and input data.
  • Proficient in technology platforms including Google Workspace CRM databases and other tools that support streamlined operations calendar/timeline oversight and best-practice delivery.
  • Demonstrated knowledge of IRS regulations around gift recording and receipting gift accounting practices and principles and CASE guidelines.

MinimumQualifications:

Bachelors degree and five years relevant experience or an equivalent combination of education and experience including 1 year of managerial experience.

Preferred Qualifications:

  • Experience in higher education or non-profit industry in an advancement services/fundraising operations environment.
  • Advanced degree or coursework in management and/or project management methodology.
  • Prior experience with Blackbaud Raisers Edge NXT or equivalent CRM platforms.

Salary and Benefits:

The starting salary range for this position is $80828.80 to $101025.60 annually and is commensurate with State University provides a best-in-classbenefits package including (but not limited to):
