A Front Desk Manager at Clarity Clinic is a professional who oversees the administrative and operational aspects of the facilitys healthcare practice. Their responsibilities include managing day-to-day operations coordinating staff schedules handling financial matters such as budgeting and billing and ensuring compliance with relevant regulations and policies. Front Desk Managers at Clarity Clinic often play a key role in hiring and training administrative staff maintaining electronic health records and facilitating communication between mental health professionals within the facility.

Location: 2101 S. Arlington Heights

Shift Schedule: 12:00 pm - 8:30 pm (Monday- Friday)

In this role you will:

  • Coordinates PCC shift scheduling to ensure correct coverage is set during clinic operations.

  • Manage patient care by demonstrating genuine concern for the well-being and comfort of patients providing emotional support to patient and families during difficult times and handling crisis when they occur.

  • Manage patient placement while managing slot utilization- ensuring that the schedules for their assigned providers are effectively managed and fill empty slots with individuals on the waitlist to increase patient satisfaction and provider productivity.

  • Provide communication and collaborate with our providers and all Clarity Clinic staff; escalating issues to the Clinic Operations Manager as needed.

  • Connect with new patients via phone and email. (i.e schedule appointments verify coverage answer questions and collect co-pays/balances).

  • Review medication inventory.

  • Maintain complete and accurate patient records.

  • Know the different types of medications and policy requirements for refills.

  • Coordinates PCC shift scheduling and makes sure the correct coverage is set during clinic operations.

  • Handles and distributes all incoming/outgoing mail (including certified mail).

  • Handles all ordering of office supplies for their respective site.

  • Schedules room assignments for all providers who are on sight.

  • Orders and distributes all brochures business cards/prescription pads to providers.

  • Completes daily batch reconciliation and deposits.

  • Manages new/current PCC training.

  • Audit opening and closing checklist.

  • Maintains sample medication inventory.

  • Completes daily walkthrough of facility to ensure a safe environment.

  • Provides facility/safety tour to new staff.

  • Handles escalated issues from patients and staff

  • Other duties as assigned by Practice Manager

Qualifications& Minimum Requirements:

  • 1 years of experience (preferred) as a Front Office Manager or Lead PCC preferably in healthcare.
  • Candidates with knowledge of / familiarity with outpatient therapy services desired.
  • Active participant in the achievement of patient satisfaction
  • Flexible to work at various office locations when needed
  • Strong organizational skills
  • Excellent communication skills/ Compassionate nature
  • Experience with basic computer programs such as MS Office.
