Purpose Of The Job:
We are seeking an experienced and detail-driven Stock Controller with a proven background in managing floorplan accounts vehicle inventory and administrative tasks related to pre-owned stock movement. This role requires someone highly organised with a strong understanding of stock management systems finance-related allocations NATIS processing and compliance documentation.
Key Responsibilities:Stock Management & Floorplan Administration- Manage and allocate vehicle stock across branches and departments
- Coordinate floorplan loading settlement and reconciliation
- Process floorplan sales and manage flagged vehicles and funding limits
- Prepare and maintain floorplan documentation for new and used vehicle acquisitions
- Ensure accurate recording of vehicle details and profit calculations
- Move stock for finance sales or workshop purposes and track physical movements
- Perform daily stock status updates reconciliations and availability reporting
NATIS & Licensing Documentation- Track collect and sort NATIS documents from licensing departments and couriers
- Arrange NATIS collections from finance and auction partners
- Submit and monitor name changes RC2 downloads and compliance with licensing protocols
- Send NATIS copies to clients and ensure document filing is completed accurately and timeously
Cash Flow Reporting & Administrative Duties- Prepare cash flow inputs and vehicle settlement forecasting for the Dealer Principal
- Reconcile outstanding accounts and liaise with finance on remittances and invoice breakdowns
- Support with DOC preparation and floorplan interest reporting
- Download prepare and file relevant compliance documentation (FICA resolution letters terms accounts)
- Coordinate invoice communication and credit note follow-ups with suppliers and funders
- Keep Wesleys office and reporting board updated with current stock status and finance summaries
Coordination & Compliance- Liaise with internal departments including sales licensing and finance to ensure smooth vehicle flow
- Assist with bank queries settlement letters and auction document handling
- Respond to queries from auctions and funding partners professionally and promptly
- Ensure all vehicle deal files are complete accurate and properly stored
Requirements:- Matric with strong numerical and administrative skills
- Minimum 35 years experience in a stock control or vehicle administration role in a used vehicle dealership environment
- Experience working with floorplans is essential
- Strong working knowledge of vehicle finance procedures and stock system processes
- Familiarity with vehicle licensing and NATIS documentation
- Excellent communication follow-up and organisational skills
- Computer literate proficient in MS Excel and dealership software systems eg VMS
- Automotive Industry experience Essential!!
