Job Summary

District Receptionist

Administration

Reports To: Assistant Superintendent for Human Resources

Pay Grade: Grade 4 Step 1 $18.24 per hour

Schedule: 8 hours per day 52 weeks per year

Job Summary: The District Receptionist shall promote a positive image to all visitors to the district; direct in-coming telephone calls to proper offices; distribute all incoming and outgoing mail; and assist departments district-wide as needed.

Qualifications:

  • Excellent attendance punctuality and customer service skills
  • Ability to maintain confidentiality
  • Exceptional attention to detail and accuracy
  • Ability to efficiently learn and utilize new software applications

Preferred Qualifications:

  • Two or more years secretarial/clerical experience

Essential Job Functions:

  • Maintain a welcoming atmosphere at the reception desk both in-person and over the phone
  • Greet all people entering the Administration Building and notify appropriate departments of any visitors
  • Answer and assist in all incoming calls forward to appropriate employee(s) as needed
  • Take messages as needed
  • Arrange for coverage for breaks lunch and for scheduled days off
  • Maintain and distribute the district phone extension list of all schools and departments
  • Sort and distribute all internal and external school district mail (including packages)
  • Process and reconcile U.S. mail postage
  • Record outgoing U.S. mail by departments
  • Maintain supply of interoffice mail envelopes
  • Update the information/event board daily
  • Provide written and oral directions to all Forest Hills Schools buildings and facilities as needed
  • Direct community members prospective families and realtors to district website as needed
  • Provide School of Choice information to in-district families upon request
  • Schedule and update reservations for the conference rooms at the Administration Building as needed
  • Coordinate service award processing for staff as needed
  • Process background checks for all district volunteers
  • Distribute sports passes to seniors as needed
  • Process student work permits as needed
  • Assist with various department projects across the district as needed
  • Consistent and reliable attendance
  • Perform other related duties as assigned

Physical Requirements:

While performing the duties of this job the employee is required to stand walk sit use hands to finger handle or feel reach with hands and arms climb or balance stoop kneel crouch or crawl talk hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision distance vision and ability to adjust/focus. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.

Work Environment:

The noise level in the work environment is usually quiet to moderate. Work will be performed mostly indoors.

Mental Functions:
While performing the duties of this job the employee is required to compare analyze communicate both orally and in writing copy coordinate instruct compute synthesize evaluate use interpersonal skills compile and negotiate.

Evaluation:
In accordance with the Administrative Support Staff Agreement.
