Summary of Responsibilities
The Executive Assistant to the COO Design-Build utilizes thorough knowledge of company protocols and exercises considerable independent judgment and discretion to handle important and confidential matters for members of the Design-Build team and others as described below.
Essential Job Functions
- Serve as a strategic partner to the COO & VP Design-Build and broader Design-Build team by anticipating needs coordinating daily operations and keeping priorities on track.
- Plan organize and execute internal and external events with precision and professionalism from employee owner gatherings to leadership presentations ensuring each touchpoint reflects the Merus brand experience.
- Schedule and manage meetings appointments travel and logistics for the COO VP and Design-Build team with clarity and foresight.
- Act as the first point of contact for calls and visitors offering a welcoming solutions-oriented presence that reflects our commitment to strong relationships.
- Maintain discretion and professionalism when handling confidential communications sensitive materials and cross-functional correspondence.
- Lead the organization of digital files by applying best practices that help the team stay agile and focused.
- Prepare presentation materials for board meetings committee sessions and company-wide employee owner updates while collaborating closely with the CEO and Presidents assistants as needed.
- Support internal communications and employee engagement initiatives contributing to a connected and informed culture.
- Lead a range of special projects and initiatives for the COO VP and Design-Build leadership whether responding to time-sensitive RFPs coordinating essential PPE logistics or tackling one-off priorities with focus and care. We adapt quickly stay grounded in what matters and deliver with confidence.

Qualifications and Experience
- Five to ten years of experience supporting senior executives in fast-paced high-impact environments.
- Proven success in planning and coordinating events that engage teams and reinforce company culture.
- Strong proficiency in Microsoft Outlook Word Excel and PowerPoint with high-level expertise in Adobe Creative Suite including InDesign Illustrator and Photoshop.
- Skilled in organizing and analyzing information to support reliable informed decision-making.
Safety Hazard of the Job
Normal safety hazards associated with office work and with occasional observational visits to construction sites.
Physical Demands
The moderate physical effort required to sit bend stoop lift walk and climb. Maximum unassisted lift is 25 lbs. Average lift is less than 10 the ability to use a keyboard and monitor. Also requires the ability to communicate verbally both in person and on the telephone. May require some travel by car/truck.
Environmental Requirements
Moderate to extreme outdoor conditions. Above-average noise levels. Protective equipment is required. Average inside office environment. Average office noise levels. No personal protective equipment is temperature is between 68F and 76F.
