Training Support Manager

Under general supervision provides staff development and training courses through Graftons Performance Enhancement Department. Work involves consulting with program management staff and treatment teams to develop specialized training technical assistance and support to meet client customer and staff needs. Reports to the Director Training and Development.
ESSENTIAL JOB FUNCTIONS
Plans prepares for and documents training for new hires and internal transfers and maintains training files:
- Checks weekly Master Records Report and works closely with HR Manager to identify new hires and internal transfers. Creates Initial Training Plan for each new employee using the Initial Required Training Chart and coordinates plan completion with other trainers. Checks to see if a transferring employee requires additional training or needs current assignments deleted.
- Checks for accurate course assignments in GLMS. Creates new hire training file. Ensures materials are prepared for training. Fulfills Preservice training documentation requirements: ensures Preservice training completed is entered into GLMS within one week; ensures all necessary hard copy training documentation is complete and placed in the employee training file in an organized manner; submits course reports for Mandt/First Aid & CPR for classes he/she teaches and for other trainers who are not in the Performance Enhancement Department. Monitors that each employee completes Preservice training prior to working with clients. Notifies Staffing Resources Coordinator (SRC) employees supervisor and program administrator when an employee fails to complete Preservice or another mandatory training as planned. Emails identified documentation of completed training for Mandt FA/CPR ID Waiver and Medication Administration to the employee. When an employee terminates employment sends training file to the Human Resources Assistant.
Delivers training:
- Conducts Preservice training and other training assigned. Demonstrates comprehensive knowledge of content for classes taught. Utilizes effective training activities such as role-playing games skills practice and relevant stories. Emphasis appears to be on each learners understanding of the content and to that end uses questioning and activities to facilitate learning and check for comprehension. Maintains training materials in an organized fashion and maintains condition of equipment. Models correct behavior and treatment techniques. Works with a transferred employees supervisor and SRC to ensure transferred employee receives necessary training by due dates. Informs the supervisor and program administrator of an employee whose conduct/attitude raises red flags as observed during the training period.
Monitors and supports training and training compliance for the region:
- Checks GLMS at least 2 times per week to track training completion. Produces a monthly report on the PED Monthly Report template by the designated date each month. Informs necessary managers about training status and provides support to the region to keep employees in compliance with required training. Follows up with Management Team Staffing Resources Coordinator and trainers to plan and schedule more classes for a given training as needed to ensure compliance. Assists with internal and external audits by checking training files and inserting an updated training transcript from GLMS. Is viewed as a support by the Executive Director Administrators Supervisors and Staffing Resources Coordinator. Attends Operating Team meetings to understand regional goals and identify/respond to training needs. Ensures a training attendance form is used for all training classes (exceptions Preservice Mandt FA/CPR re-certifications) and that the form captures the objectives and attendees of the training. Places training attendance forms in the Enrollment Forms book established for a period of time typically the training year (fiscal year).
Develops and implements regional Preservice certification and re-certification schedules:
- Creates proposed schedule for Preservice certification and re-certification classes by end of April and presents to Director Training and Development Management Team and Human Resources managers for approval or revision. Ensures a trainer is assigned to each scheduled class. Collaborates with Staffing Resources Coordinator and trainers to ensure training occurs as scheduled. Arranges for training space for scheduled classes. Ensures the planned location is available and materials and equipment are available to the trainer.
Assists with training development and delivery for the Performance Enhancement Department and the region:
- Assists the Director Training and Development and other Training Support Managers in developing and updating training material including online courses. Assists with the development of training requested by the region and approved by the Director Training and Development. Utilizes subject matter experts appropriate resources or training needs analysis approach to determine the need for or develop or revise training. Replaces training materials with updated versions and purges files of outdated versions. Utilizes updated versions in training classes by the date identified. Serves as Peer Mentor to new Training Support Managers. May serve as primary Training Support Manager for special training initiatives - training development and implementation.
ADDITIONAL JOB FUNCTIONS
- Answers calls/requests in a timely manner.
- Serves as a substitute trainer as needed.
- Performs other duties as assigned (example - serves as GLMS Systems administrator).
MINIMUMQUALIFICATIONS
- Bachelors degree in special education social work or related field; with 3 4 years of experience in planning organizing and teaching instructional courses; or any equivalent combination of training and experience which provides the required knowledge skills and abilities.
- Eligibility to become QMHP certified as an instructor.
