POSITION DESCRIPTION
The Office Coordinator performs secretarial functions for the department which includes correspondence word processing filing mail processing etc. The Office Coordinator arranges for substitutes and other functions related to substitutes. They prepare and maintain payroll. The Office Coordinator at Oak Valley Center would support the classrooms within the building as well as the Student Services Department district-wide.

MINIMUM QUALIFICATIONS
Must have excellent communication problem solving planning and interpersonal skills
Must have the ability to establish and maintain effective relationships with directors teachers supervisors and responsible school and civic officials students and parents
Must exhibit strong organizational skills and have demonstrated ability to maintain efficient office records including proper filing and uploading to the drive
Must have computer skills that include but are not limited to Microsoft Office applications and Google
Must have adequate bookkeeping knowledge and understanding of Business Office functions of the district
Must be on OV campus prior to bus arrival until after the dismissal of students (on ATS schedule) with an eight-hour day
Applicants may be required to take a qualifying test in typing spelling and word processing
ESSENTIAL FUNCTIONS
Perform normal secretarial functions including correspondence word processing filing mail processing and answering the telephone and door for Student Support Services programming.
Prepare and maintain payroll records utilizing Red Rover and Timeclock Plus.
Arrange for substitutes and other functions relating to substitutes.
Manage enrollment process for incoming students for the district-level classrooms at Oak Valley.
Manage student CA records and confidential files for ATS and any other special education program(s) at Oak Valley Campus.
Prepare pupil count submissions in October and February for ATS and any other special education program(s) at Oak Valley Campus.
Skyward attendance and records support. Input health and IEP information as needed in MiStar and Skyward.
Prepare purchase orders warehouse orders and distribute supplies for Student Support Services programming..
District coordination of Walkie Talkies Plans of Care EpiPens OT/PT scripts and Health Training. Tracking and collecting data for district-wide initiatives.
Purchasing for SSS staff allocations Personal Protective Equipment and Protocol orders.
Support coordination of Medicaid billing for the district.
Support coordination of ESY documentation for the district.
Communicate Extended School Year (ESY) and SXI/SCI Summer Programs needs with Food Services Transportation and families. Support summer programming.
Maintain office equipment and make arrangements for repairs.
Reserve OV facilities as needed not including HV Rec & Ed programming.
Work in collaboration with Harbor High HV Rec and HV Coalition staff.
Support SSS staff with IEP uploads for Count Day and Archiving.
Travel to Central Office or other buildings for meetings as directed
Other duties as assigned by the directors.
EDUCATION and/or EXPERIENCE: High School Degree or higher.
LANGUAGE MATHEMATICAL AND REASONING SKILLS: Ability to speak and write effectively. Ability to apply mathematical concepts to practical situations. Ability to carry out instructions furnished in written or oral format and deal with problems involving several concrete variables in standardized situations.
