Position Overview: The Administrative Support Assistant ensures smooth facility operations by providing essential administrative reception and logistical assistance for the Waco location. This includes greeting visitors coordinating facility access managing supplies and mail and supporting internal meetings and on-site events. The role may also serve as a backup to corporate training and travel coordination activities. Key Responsibilities: - Serve as the primary point of contact for the Waco facilitygreet visitors answer inquiries and support employees across all departments.
- Perform administrative tasks including scheduling file management and correspondence drafting.
- Manage incoming and outgoing mail packages and daily mailbox retrieval.
- Assign and track access badges monitor visitor entry/exit and support building security processes.
- Maintain office supply inventories and restock beverages/snacks for common spaces.
- Assist with on-site contractor scheduling and facility service appointments.
- Support new hire onboarding and timekeeping entry in coordination with HR.
- Run local errands to support daily operations.
- Assist with event setup/teardown kitchen cleanliness hospitality and laundry coordination.
- Act as backup for travel and training event support as needed.
- Perform other duties as assigned.
Education Experience & Qualifications: - High School Diploma or GED Required
- 1 year of administrative coordination or office operations experience Preferred
- Professional communication skills and strong customer service mindset
- Ability to manage multiple priorities with accuracy and efficiency
- Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint)
- Ability to work independently and apply sound judgment in a fast-paced environment
