Job Description:

As a Global Mobility Associate you will play a key role in supporting our international workforce by ensuring compliance and efficiency with various HR tax and immigration processes. This position serves as the point of contact for new hire relocations and employee transfers company-sponsored immigration and other compliance-related queries cross-border remote work requests and more. The ideal candidate will be detail-oriented knowledgeable and experienced in guiding employees and our business through complex global mobility issues.

This role will report into the London-based Global Mobility Manager and you will form part of the Global People Operations team where you will have a number of colleagues in Barcelona London New York Singapore and beyond.

You Will:

  • Immigration & Visa Support

    • Coordinate and manage work permit applications renewals and adhoc immigration cases in partnership with external counsel and internal stakeholders.

    • Serve as a point of contact for employees Talent Acquisition and HR Business Partners regarding processes timelines and requirements.

    • Track expiration dates and ensure timely renewals to maintain compliance.

    • Maintain strong knowledge of Spain UK US and other regional immigration processes advising on policy and process

  • Relocation & Mobility Coordination

    • Oversee international new hire and employee relocations ensuring a smooth experience from pre-move planning to post-move support.

    • Provide recommendations to Talent Acquisition and HR on policy guidelines to inform the relocation or expat package and any considerations

    • Work with the Global Mobility Manager tax provider and payroll team to ensure tax equalisation and year-end process is understood and completed on time

    • Maintain processes and data in Workday on the employee record to capture key data points for monitoring and managing payroll tax immigration and more

    • Provide a high touch service with local Spanish processes for foreign nationals eg. obtaining NIE SSN Town Hall registrations and more

    • Initiate and lead efforts to continuously improve process and compliance by understanding and applying best practice streamlining processes and reducing manual effort

    • Creation of knowledge articles and forms in ServiceNow to streamline the process for a frictionless employee experience

  • Compliance & Risk Management

    • Monitor and ensure compliance with immigration laws global mobility policies and country-specific labor laws.

    • Maintain accurate records and documentation for audits and reporting whilst also supporting internal audits

    • Gather country requirements for Workday as our source of truth helping to find gaps in compliance process and

    • Assist in developing and maintaining compliance dashboards and tracking tools to monitor visa tax and global mobility more broadly

  • Cross-Border Work & Remote Requests

    • Review and advise on employee and business requests to work from other locations assessing legal and operational risks.

    • Support the creation and refinement of processes and decision trees for remote work requests ensuring alignment with company risk and compliance policies

    • Partner with Legal Tax and HRBP teams to evaluate and process short-term and long-term mobility requests

You have:

  • 3 years of experience in global mobility and immigration

  • Fluency in Spanish and English language

  • Strong understanding of immigration processes employment law and international HR practices especially US UK & Spain

  • Experience working with global mobility providers and immigration counsel

  • Excellent attention to detail organization and communication skills

  • Ability to work cross-functionally with Legal Finance HRBPs and external vendors

  • Knowledge of global tax implications related to mobility

  • Proactive mindset with the ability to identify process gaps and drive continuous improvement within global mobility operations

  • Knowledge of ServiceNow and Workday
