German Speaking - Admin & Diary Coordinator

What you will do

Lets do this vital role you will be responsible for day to day administrative support to Amgen. This includes training coordination and logistics travel bookings/planning and IT housekeeping. You will also provide a helpdesk service to answer and direct general incoming queries to the ACCP and provide an efficient comprehensive and confidential administrative support service.

Responsibilities will include:

  • Answering general incoming queries to the ACCP
  • Process Purchase Requisitions
  • Set Up Vendors
  • Addressing queries related to Travel and Expenses
  • Support travel bookings (hotels/flights/trains/rentals) including availability checking bookings and reminders
  • Support expenses report creation population and reporting
  • Coordinates mailings and courier/deliveries
  • Maintain and update profiles (Amex/Passport info/Frequent Traveller cards / subscriptions
  • Support distribution Lists - setup maintain and manage membership / access
  • Set up MS Teams / SharePoint and support in new joiner / leaver aligning with HR
  • Responsible for calendar / diary management including vacations appointments and travel blocks
  • Prepares agendas takes and completes meeting minutes; coordinates distribution and follows up on action items
  • Liaise with candidate and interviewers administrative coordinators s to check availability send out invites / create interview schedule
  • Responsible for recognizing and escalating problems or risks as and when they arise in line with the business requirements
  • Adapt support and contribute to the growth and continuous improvement of the department and ACCP

Our ideal candidate has Presentations and Data Compilation skills. He/she is good at following the processes and procedures necessary to succeed; understands how to collaborate and work in a large team and is set on Project Delivery.

Proven experience and skills needed:

  • Associates degree & 2 years of directly related experience or High school diploma / GED & 4 years of directly related experience.
  • Fluency in English and German both in written and oral communication.

Preferred Requirements:

  • 1 years of experience in an administrative support role supporting large teams at different levels.
  • Experience in handling calls
  • Proficient using MS Office and Cisco Webex tools
  • Experience in similar or related discipline
