Senior Helpers Maine LLC is seeking a reliable people-focused and detail-oriented Administrative Assistant to support our growing home health agency. This vital role ensures smooth daily operations and serves as a key point of communication between our office team caregivers and patients. The ideal candidate is organized professional responsive and enjoys working in a fast-paced yet supportive mission-driven environment that makes a meaningful impact in the community.
Primary Responsibilities:
- Answer and manage incoming phone calls emails text messages and voicemail in a prompt and professional manner
- Assist with caregiver scheduling shift coordination and relaying updates to field staff and patients
- Send and receive faxes and secure emails (including medical documentation and physician communication)
- Maintain accurate documentation digital files and data entry in agency systems (AxisCare or similar scheduling platform)
- Assist with office inventory management supplies medical kits forms PPE and patient materials
- Prepare and mail letters / notices to staff and patients as needed
- Provide general administrative support including filing organizing patient charts printing and scanning documents
- Support the Administrator with special projects and compliance-related tasks as assigned
Qualifications:
- Previous experience in administration scheduling or customer service (healthcare office preferred but not required)
- Strong phone and email communication skills with a professional and friendly demeanor
- Excellent attention to detail organization and multitasking skills
- Proficient with computers email fax and basic office technology
- Dependable proactive team player with strong confidentiality standards
- High school diploma or equivalent required
Schedule & Work Environment:
- Full-time In-office MondayFriday
