As an Administrative Data Clerk at Colour Line Hair Studio you will provide essential support to the salons back-office functions by managing data entry record-keeping and administrative workflows. Your role ensures that client records appointment logs retail inventory vendor invoices and internal operations data are accurately entered organized and maintainedhelping the salon continue its mission of tailoring each service to individual needs and offering exceptional guest experiences.
Key Responsibilities
Enter update and maintain data in salon systems including client profiles (service history preferences) appointment schedules vendor purchase orders product inventory and retail sales transactions.
Review and validate source documents such as appointment sheets service logs receipts vendor invoices or product deliveries before data entry; identify missing information or discrepancies and follow up with stylists front-desk staff or vendors.
Maintain organized digital and physical records: ensure proper naming conventions folder structures archiving of older records and purge of obsolete entries to support ease of retrieval and data integrity.
Assist with general administrative tasks: answering front-desk phone calls when needed processing client check-in/out records coordinating with the retail team on product stock levels and helping with salon communications (emails texts confirmations).
Generate periodic reports summarizing key metrics such as appointment volume retail product turnover data entry backlog inventory discrepancies or vendor order status and submit summaries to salon management.
Collaborate with salon teamstylists retail staff front-desk and inventory personnelto gather required data clarify information and ensure that back-office records reflect the in-salon experiences and retail operations.
Uphold confidentiality and data-security standards: handle sensitive client information (preferences history) vendor data and internal salon documentation in accordance with salon policies and professional standards.
Assist with process improvement: propose enhancements to data-entry workflows administrative systems or digital organization (e.g. templates spreadsheets digital filing) to increase efficiency accuracy and support team growth.
Requirements
High School diploma or equivalent required; additional certification or coursework in office administration data management or business technology is a plus.
Previous experience in administrative or data-entry work is preferred; retail salon service-industry or appointment-driven experience is advantageous.
Strong accuracy and attention to detail when working with dataable to handle multiple fields maintain consistency and correct errors.
Proficiency in Microsoft Excel or Google Sheets and comfortable learning salon-management software appointment systems or internal databases.
