Description
The Administrative Manager performs supervisory clerical and administrative work to support activities of the department. This position ensures that work generated in the office is done in a timely and accurate manner. The position is responsible for comprising and maintaining various computerized files creating reports working in multiple inventories and files as well as preparing correspondence and reports.
Examples of Duties
Supervises activities of subordinates; schedules directs evaluates counsels and trains employees; ensures adherence to established policies and procedures.
Performs research and compiles data for special projects or reports; creates and maintains various computerized files; initiates faxes and makes copies.
Prepares or assists with budget for department; ensures compliance with budget; monitors funds purchase orders budget accounts and office supplies.
Checks enters and distributes mail as necessary.
Greets visitors answers telephones and provides information or routes communications.
Regular and punctual attendance is required.
Manages timesheet for the department.
Prepares purchasing request for office supplies and facility supplies for detention and post. Reconciles invoices for payment.
Registers Juvenile Supervision Officers for training in detention and post and make travel arrangements as needed for the department.
Prepares out of county detention and post billing which provides revenue for the department.
Maintains administrative files on all employees. These files contain state mandated records required to be kept on all Juvenile Probation employees.
Process state mandated restricted access notifications from the Department of Public Safety by sending the arresting agency county clerks and the District Attorneys office the notice to restrict access to juveniles records.
Performs other related duties as required.
Minimum Qualifications
High School Diploma or GED and a minimum three years of experience in a related field; or an equivalent combination of education and related experience required.
Specific certifications related to the area of assignment may be required for this position.
Bilingual in English and Spanish preferred.Supplemental Information
