Job Summary

MOO set out to shake up the world of print back in 2006. And weve come a long way since. Today were a 400 strong team (were thinking of getting matching jackets) who create print and digital products for companies of all sizes from Google and AirBnB to the guy who makes those amazing prints you found at a craft fair.
Our global HQ is in London UK while we also have premises in the US youll find us in Boston MA Denver CO and East Providence RI

The Recruiting Coordinator is an integral part of our Talent Acquisition team supporting the full hiring process from scheduling interviews and preparing offer letters to ensuring systems data and candidate experiences run smoothly. Youll collaborate across teams in the US UK and South Africa gaining visibility into a global recruiting operation and the opportunity to grow your skills in systems analytics and employer branding.

This role reports to the Head of Talent Acquisition and partners closely with recruiters hiring managers People Partners and People Operations.

The person we want is sharp proactive and detail-driven. You bring a strong sense of ownership and a knack for keeping things organized and on track. You love creating order spotting whats missing and ensuring everything runs smoothly. Above all you are passionate about the candidate experience. You know that how we treat candidates reflects MOOs brand and youre determined to deliver a truly world-class seamless and professional journey for every single applicant.

Responsibilities

    • Schedule interviews across time zones ensuring a seamless positive candidate experience.
    • Prepare offer letters and manage administrative aspects of the hiring process.
    • Support hiring for manufacturing and customer service teams ensuring timely movement and communication.
    • Maintain data accuracy across recruiting systems (Lever Spoke and related tools).
    • Troubleshoot system issues and flag process gaps proactively.
    • Assist with content updates for job postings careers page and employer brand initiatives.
    • Contribute ideas for improving candidate communications and hiring materials.
    • Help organize recruiting events DEI partnerships and internal TA

About You

    • Youre curious resourceful and calm under pressure. When scheduling conflicts system hiccups or process gaps pop up you troubleshoot quickly and thoughtfully. You ask smart questions collaborate to find solutions and adapt when plans change always keeping candidates and hiring teams informed
    • You use sound judgment to make daily decisions from prioritizing interviews to managing sensitive information and know when to escalate for input. You balance speed with care making decisions that protect both candidate experience and team efficiency.
    • You thrive on organization and love bringing structure to a busy hiring environment. You manage multiple requests across time zones keep systems accurate and find ways to make scheduling and communication smoother for everyone. Youre always looking for small process tweaks that make a big impact.
    • Youre a trusted partner to recruiters hiring managers and candidates. You communicate clearly share updates proactively and support teammates when things get hectic. Youre open to feedback and help others by sharing what works creating a collaborative supportive rhythm across the TA team.

Nice to Have

    • Previous experience in a coordination operations or admin role is a plus but curiosity and initiative matter most.
    • Proficiency in Google Workspace and familiarity with tools like Lever Greenhouse or other ATS is a bonus.
