Overview:
Under the supervision of the Administrative Criminalist V the Head Clerk & Secretary will be assigned to the Forensic Laboratory.
Responsibilities:
- Receives and screens visitors to the Laboratory arranges appointments and assists with inquiries.
- Attends telephone(s) and directs/transfers calls as appropriate.
- Performs administrative and clerical functions under the direction of the Administrative Criminalist V/Criminalist Vs.
- Types reports memorandums letters and other correspondence as needed.
- Performs electronic data entry and retrieval.
- Maintains files and records in accordance with laboratory policies and procedures.
- Tracks orders and maintains clerical lab supplies.
- May assist in requesting quotes and vendor communication for the Laboratory.
- Photocopies/scans and prepares mailings of laboratory correspondence and reports as needed.
- Distribution of documents to appropriate agencies as needed.
- May assist in scheduling of forensic section/monthly/quarterly meetings.
- Records minutes of laboratory meetings.
- May assist in submitting weekly time and attendance sheets for the Laboratory.
- May assist the Firearms Section with the data entry/validation of stolen guns.
- Participate in continuing education conferences trainings and other seminars relative to their position.
- Performs any related duties as required.
Minimum Entrance Qualifications:
- At least four (4) years of full-time or equivalent part-time paid administrative support experience in an office environment.
- A High School Diploma or equivalent is required; an Associates Degree may substitute for one (1) year of experience.
- Experience in using Microsoft Office (Word Excel PowerPoint Access etc.) and Google Suitestrongly preferred.
- Clearly and effectively communicates information in both written and verbal formats.
- Demonstrates professional and respectful communication with colleagues.
- Strong organizational oral and written skills; must appreciate and respect the confidentiality of all situations.
- Knowledge of routine laboratory safety rules regulations and procedures.
- Ability to follow Standard Operating Procedures (SOPs).
- Ability to establish and maintain effective working relationships with coworkers.
- Strong time management skills with the ability to prioritize tasks effectively.
- Maintains accurate and well-organized records files and documentation.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Must be able to exercise good judgment and focus on detail as required by the job.
BOSTON RESIDENCY REQUIRED.
PRE-EMPLOYMENT DRUG TEST AND PHYSICAL REQUIRED.
