Job Description
This Administrative Support Associate II will be responsible for providing administrative support to the daily operations of the Communications Department including answering/routing calls greeting visitors filing preparing mail and other assorted administrative addition this position will be coordinating the internal invoicing and budgeting process training applications and training materials professional membership renewals and travel/conference expenses reimbursements and instructions to staff regarding business
Essential Duties- Performing daily and weekly tasks such as compiling and distributing daily news clips submitting work orders and tickets for repairs and maintenance for the department
- Assisting with tracking projects and organizing digital assets in designed software platforms
- Entering data monitoring office inventory monitoring assignments in project management tool
- Assisting with asset management program to ensure all equipment is checked in and out properly
- Coordinating attendance and tabling at department-sponsored events career fairs and miscellaneous events
- Serving as a backup to information desks and fellow administrative support associates
- Scheduling meetings and preparing agendas and minutes
- Preparing PowerPoint graphics for various meetings
- Coordinating photography requests with staff and contract photographers
- Organizing promotional item inventory and fulfilling requests for promo item use
Grade
The grade for this position is agrade 100D. Salary will be dependent on education and experience.
Effective 4/11/2023 this position is eligible for the Employee Referral Program.
Minimum Qualifications
- High School Diploma AND
- Two years of administrative support or related office experience
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
Preferred Qualifications- Four years of administrative support or related office experience
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
