Service Coordinator Overview
As a Service Coordinator at Rasmussen Mechanical Services you will get to dispatch field team members and coordinate other resources to build a positive experience. Your goal is to foster a supportive work environment. Your success will lead directly to a healthy work-life balance for your field team repeat business and more prosperous opportunities.
Responsibilities:
- Dispatch field personnel manage time cards administer service order and job order documentation and act as a resource for administrative questions for the departments coordinated. Work as a liaison with all other RMS coordinators company wide.
- Work with field personnel accounting department and supervisors to gather all necessary information to ensure prompt and accurate customer invoices.
- Schedule and prioritize manpower and materials as required to meet committed completion schedules and profitability. Schedule work based on the capabilities of available field personnel the known complexity of work and the planned and/or promised completion time. Purchase materials needed for service as required.
- Enter hourly time cards. Ensure accurate data entry review and distribute accurate and reasonable reporting as directed.
- Review and process inventory activities including movements and deletions. Report discrepancies between physical counts and computer records.
- Prepare estimates for Inside Sales on equipment materials projects and services. Develop proposals for presentation to customers.
- Performs receptionist duties including answering telephone routing calls managing voicemail system and distribution of incoming mail and faxes. Will maintain an orderly appearance in lobby area will present a professional appearance and interact with vendors customers and fellow employees in a businesslike manner.
- Support Salespeople and Project Managers with administrative assistance as part of the sales and project team.
- File and maintain service records.
- Support the management of Rasmussen Mechanical Services and all subsidiaries and act as a resource for gathering information researching issues etc.
Experience:
- Three plus years of industrial or mechanical experience is preferred
- HVAC experience preferred
Skills:
- Must possess word processing spreadsheet development data entry e-mail and internet navigation skills at a level to perform responsibilities listed above.
- Must be able to organize coordinate and utilize time effectively including:
- Apply common sense understanding to carry out written and oral instructions
- Analyze and solve problems
- Organize and maintain records
- Communicate effectively and professionally both orally and in writing including the ability to ascertain the needs of others and to use this knowledge to strengthen the office team
- Handle and prioritize many tasks simultaneously focusing on details and seeing each task through to completion in a timely manner
- Maintain confidentiality
- Be professional and courteous at all times
- Be self-motivated
- Discern tasks that need to be completed without being instructed.
Physical & Mental Requirements:
- Must be able to lift 25-30 lbs. Must be able to sit for long periods of time and operate business equipment.
- Must be able to read / hear / write / spell / type and speak English clearly. Must be able to understand and follow written instructions communicate effectively orally and written and must be able to listen effectively.
- Must pass pre-employment drug screen.
