Job Title: Payroll Specialist

Reports To: Payroll Manager / HR Director
We are looking for an experienced and detail-oriented Payroll Specialist to oversee and manage our companys payroll this role you will ensure that employees are paid accurately and on time while adhering to all relevant laws and regulations. You will handle payroll calculations tax deductions benefits administration and report generation ensuring a smooth payroll operation. The ideal candidate will be knowledgeable about payroll software have strong organizational skills and have a thorough understanding of compensation laws.
Key Responsibilities:Payroll Processing:
Process bi-weekly monthly or semi-monthly payroll ensuring timely and accurate payments to all employees.
Calculate wages overtime bonuses and deductions and ensure compliance with company policies.
Review timesheets employee attendance and work schedules to verify payroll data.
Tax and Benefits Administration:
Ensure that federal state and local taxes are accurately withheld from employee wages.
Administer employee benefits such as health insurance retirement plans and other deductions.
Prepare and submit payroll tax filings (e.g. 941 940 state unemployment taxes) in compliance with relevant deadlines.
Reporting & Record Keeping:
Maintain accurate payroll records and generate reports including payroll summaries tax filings and year-end reports (W-2s 1099s).
Assist with audits of payroll data as requested by internal or external auditors.
Handle wage garnishments child support orders and other special payroll adjustments.
Employee Inquiries:
Address employee questions regarding pay benefits deductions and other payroll-related matters.
Investigate and resolve any payroll discrepancies or issues in a timely manner.
Ensure confidentiality of payroll information and maintain secure employee records.
Compliance & Process Improvement:
Stay current with payroll laws tax regulations and company policies to ensure compliance.
Recommend improvements to payroll processes systems and software to increase efficiency and accuracy.
Assist with year-end processes including bonus and tax-related filings.
Education: High school diploma required. Associates degree in Accounting Finance Business or a related field is preferred.
Experience:
At least 1-2years of experience in payroll processing or related financial roles.
Familiarity with payroll software (e.g. ADP Paychex QuickBooks) is highly preferred.
Strong understanding of payroll laws tax regulations and benefits administration.
Skills:
Excellent attention to detail and accuracy.
Strong organizational and time-management skills with the ability to meet payroll deadlines.
Proficient in Microsoft Excel and other payroll-related software.
Strong communication skills both written and verbal to handle employee inquiries.
Ability to maintain confidentiality and handle sensitive financial information with discretion.

Strong problem-solving skills and the ability to investigate and resolve payroll issues.
Knowledge of labor laws wage and hour laws and tax compliance.
