The Opportunity

As an In-Office Support Specialist with EY Law LLP you will provide our clients with integrated quality services. EY Law LLP helps companies and their employees efficiently relocate wherever they are needed. You will support multiple administrative business immigration tasks which support the delivery of business immigration services to multinational clients.

The function of this role means it has a 5 day per week in-office work model. There is no potential for remote or hybrid work with this position. Interested applicants must be able to commit to working from EYs Toronto office 5 days per week.

Skills and Attributes for Success

As an In-Office Support Specialist you will provide day-to-day in-office support to the staff senior and management teams in all aspects of business immigration client accounts.

Responsibilities include:

  • Taking ownership of assigned tasks; seeking resources clarifying deadlines as needed and prioritizing effectively.
  • Maintaining a high level of professionalism when handling sensitive and confidential information.
  • Communicating effectively with team members keeping them updated on task status.
  • Actively participating in team meetings and take notes
  • Communicating and managing coverage for team absences
  • Demonstrating effective email management adhering to Service Level Agreements for responses.
  • Liaising with extension teams including Global Delivery Service and Legal Managed Services.
  • Communicating issues openly and seeking guidance when needed.
  • Sending visa approval emails and ordering cheques as needed.
  • Review scans of filings for accuracy.
  • Completing reporting fields and assisting with data clean-up as requested.
  • Building and or generating customized reports for the team as needed.
  • Cultivating knowledge of firm and client processes including basic immigration processing categories.

Qualifications:

  • Post-secondary education in Business Administration Communications or another relevant discipline is preferred.
  • 2 years experience working in a professional office setting performing administrative tasks such as:
  • Document management and compliance support
  • Data entry and validation
  • Managing correspondence
  • Meeting coordination and project support
  • Report generation
  • A high attention to detail and ability to effectively manage multiple tasks in large volume in a fast-paced environment
  • Ability to present information in a clear and organized manner verbally and in writing
  • Strong organizational and time management skills
  • Demonstrated initiative to identify issues and provide creative solutions and suggestions
